OBJECTIVE : The Special Events Supervisoris responsible for planning and organizing promotional events. Responsible for running a range of events, ensuring the target audience is engaged in all things Lipman Brothers, with proper marketing efforts. At all times will uphold the integrity of our brands and provide exceptional customer service. ESSENTIAL DUTIES AND RESPONSIBILITIES: Inventory Management: Work with Beer, Spirits and Wine Department’s Festival planning – supplier partners attending, and products to showcase. Coordinate with Events and Community Liaison manager regarding logistics of Wine and Spirit events. Coordinate with On-Premise Beer Manager & Business Unit Director on which breweries will attend Beer Festivals, and then work with the breweries to select beers based on current inventories. Monitor inventory regularly and rotate product to ensure we have fresh product available for customers, as well as no out-of-code product with our large venue customers. Event Planning : Prepare budgets and ensure adherence. Source and negotiate with vendors and buyers. Ability to execute festival / event to the expectations mutually agreed upon with Venue. Prioritize communication with festival / venue regarding all facets of our services to ensure a trouble-free experience. Coordinate festival signage with Lipman Graphics Department. On-site day of events, execute plans where applicable; hang signs, distribute sell sheets, make sure product is poured correctly, trouble-shoot problems, etc. Cultivate a relationship with all suppliers represented at the event, to include third party equipment companies such as Ahead for Profits . Work closely with Events Assistant for a team-based approach to events. Supervise all Lipman Brothers staff (merchandisers) at events. Analyze the event success and prepare reports Warehouse Coordination: Work closely with warehouse operations to coordinate vehicles for events, and product load-ins. Provide detailed schedules for transportation, loading, and returns with Warehouse Manager. Develop protocol with warehouse team for staging event products. Prioritize communication with festival / venue regarding all facets of our services to ensure a trouble-free experience. NON-ESSENTIAL DUTIES AND RESPONSIBILITIES: All related duties as assigned. QUALIFICATION REQUIREMENTS: Bachelor’s Degree from an accredited institution or equivalent four years of experience preferred. Two years of experience in event coordination or event administrative support Two years of experience in facilities management is a plus. Excellent leadership skills. Skilled at project management Excellent organizational skills and detailed oriented Ability to both delegate and multitask Must be proficient with Microsoft Office. Communicate effectively both verbally and written.
