Continental Western CorporationPosition Summary The Branch Operations Manager is responsible for overseeing and coordinating the day-to-day operations of CWC’s Phoenix location, including order entry, customer service, inventory management, purchasing coordination, shipping and receiving, and general administrative functions. This position plays a key role in ensuring that customer orders are processed accurately and efficiently, customer inquiries are addressed promptly, inventory is managed appropriately, and branch operations run smoothly.The Branch Operations Manager serves as a central point of contact between customers, sales representatives, customer service, purchasing, warehouse personnel, transportation providers, and regional management. This role requires strong organizational skills, attention to detail, sound decision-making, and the ability to manage multiple responsibilities while maintaining excellent customer service and protecting company profitability. Key Responsibilities1. Order Entry and Order Management Enter customer orders, quotes, and related transactions accurately into CWC’s P21 system. Review purchase orders for correct item numbers, descriptions, quantities, pricing, shipping instructions, and customer requirements. Verify that customer pricing is current, approved, and consistent with established margin expectations. Identify discrepancies, outdated pricing, cost changes, and potential margin issues before orders are processed. Monitor open orders, backorders, special orders, and pending shipments to ensure timely fulfillment. Communicate order changes, delays, shortages, and other issues to the appropriate personnel. Maintain accurate order documentation and follow established company procedures. Coordinate orders and inventory transfers between Phoenix and other CWC branches as needed. 2. Customer Service and Account Support Serve as a primary point of contact for customer inquiries regarding orders, pricing, product availability, and delivery schedules. Respond promptly and professionally to customer phone calls and emails. Provide accurate updates regarding order status, backorders, lead times, substitutions, and shipping arrangements. Resolve routine customer service issues and escalate complex matters when necessary. Support sales representatives with quotations, order follow-up, samples, and customer requests. Maintain positive customer relationships by providing dependable service and proactive communication. Follow up on outstanding customer requests to ensure issues are resolved. 3. Daily Branch Operations Coordinate and oversee the daily workflow of the Phoenix branch. Prioritize order processing, customer requests, warehouse activities, shipments, and other operational responsibilities. Ensure that daily tasks are completed accurately, efficiently, and within established timelines. Coordinate communication between customer service, sales, warehouse personnel, purchasing, and transportation providers. Identify operational problems and implement practical solutions within the authority of the position. Maintain organized records, orderly work areas, and compliance with company procedures. Keep regional management informed of operational issues, staffing concerns, service problems, and other matters affecting branch performance. 4. Inventory Management and Purchasing Coordination Monitor inventory levels, product availability, open purchase orders, and expected receipt dates. Identify products approaching minimum stock levels and communicate replenishment needs. Coordinate with purchasing and regional management regarding inventory requirements, special orders, and product shortages. Review backorders and anticipated demand to help maintain appropriate inventory levels. Coordinate interbranch transfers when necessary to support customer requirements.
