Parts Specialist

The Parts Specialist serves as the primary point of contact for customers seeking replacement parts and aftermarket support. This role is responsible for providing exceptional customer service by preparing accurate quotations, processing sales orders, coordinating shipments, and tracking orders through delivery. Working closely with customers, suppliers, freight providers, and internal teams, the Parts Specialist ensures timely communication, efficient order fulfillment, and a seamless customer experience while helping keep customers' equipment operating at peak performance. Essential Functions Answer incoming parts calls from the parts department. Assist customers with parts requests, including orders, quotes, and general questions. Prepare quotations for parts orders, including drop shipments, and determine the appropriate shipping location. Enter new part numbers into NetSuite. Send unknown part information to Engineering with the proper documentation to assist in identifying parts. Respond to requests received through the parts department mailbox. Support warehouse activities as required to meet shipping and receiving timelines. Schedule trucks and coordinate LTL freight shipments. Set up freight shipments, including UPS, DHL, LTL, and international shipments, as needed. Generate bills of lading and shipping documentation. Receive purchase orders in NetSuite and process backorders as requested by the Inventory Manager. Issue dedicated purchase orders for standard backorders. Track open purchase orders and follow up with suppliers to ensure timely delivery. Receive shipments into NetSuite as requested. Track and communicate the status of aftermarket drop shipments by coordinating with factories, freight brokers, customers, and internal departments until delivery is complete. Assist in creating, updating, and maintaining Standard Operating Procedures (SOPs). Maintain accurate customer historical records for screws and barrels. Assist with inventory, purchasing, distribution, and logistics activities as assigned. Perform other duties as assigned to support departmental and company objectives. Required Experience / Skills / Education Associate degree in Business, Supply Chain, Technical Studies, or a related field preferred; equivalent work experience will be considered. Order entry and customer service experience required. Basic computer proficiency, including Microsoft Office (Excel, Word, Outlook), Google Chrome, and data entry. Experience with NetSuite preferred. Experience with QuickBase is a plus. Ability to read parts drawings preferred. Experience with hydraulic, pneumatic, and electrical components preferred. Knowledge of purchasing, inventory control, distribution, or spare parts operations preferred. Knowledge of LTL freight, freight scheduling, freight terms, and bills of lading preferred. Knowledge of UPS, DHL, freight classifications, tariff codes, and U.S. Customs regulations preferred. Knowledge of international shipping, including commercial invoices and customs documentation, preferred. Excellent communication and customer service skills. Strong attention to detail with excellent analytical and problem-solving abilities. Strong organizational and time management skills with the ability to prioritize multiple tasks and meet deadlines. Ability to work independently while contributing effectively as part of a team. Ability to follow company Standard Operating Procedures (SOPs).
