Responsibilities Coordinate and schedule medical transportation requests using transportation management systems and vehicle dispatch software, ensuring prompt service delivery. Communicate effectively with patients, drivers, healthcare facilities, and internal teams via multi-line phone systems and internal communication platforms. Monitor GPS and GIS tools to track vehicle locations, optimize routes, and adjust schedules as needed for efficiency. Maintain accurate data entry of transportation logs, patient information, and dispatch records while adhering to HIPAA regulations for confidentiality. Manage phone call inquiries with professionalism, demonstrating excellent phone etiquette while providing clear information about transportation services. Ensure compliance with DOT (Department of Transportation) regulations and safety standards during dispatching activities. Collaborate with supply chain and logistics teams to coordinate freight movement related to medical supplies or equipment when applicable. Analyze transportation data to identify opportunities for process improvements in road transportation operations and fleet management. Skills Proficiency in transportation management systems (TMS), vehicle dispatch software, SyteLine, AS400, and shipping & receiving platforms. Strong organizational skills with the ability to manage multiple priorities efficiently in a fast-paced environment. Excellent communication skills—both verbal and written—to facilitate internal coordination and customer interactions. Experience with GPS, GIS mapping tools, and route optimization strategies for effective transportation planning. Knowledge of DOT regulations, road transportation operations, freight handling, and fleet management best practices. Skilled in data entry, analysis, and reporting to support logistics decision-making processes. Ability to operate multi-line phone systems confidently while maintaining professional phone etiquette. Familiarity with supply chain processes related to healthcare logistics or freight shipping is a plus.
