Fleet Billing Coordinator Myers Fleet | Sanford, Florida Full-Time | Onsite Join Our Growing Team! Myers Fleet, a division of Myers Auto Group, is seeking an experienced, detail-oriented Fleet Billing Coordinator to join our growing fleet operation in Sanford, Florida. We are looking for someone with a strong automotive dealership background who understands vehicle sales transactions, deal processing, and dealership accounting procedures. The ideal candidate will have hands-on experience creating and loading vehicle deals into a dealership management system (DMS), along with a working knowledge of automotive Finance & Insurance (F&I) processes. This is an excellent opportunity for an experienced automotive billing or deal-processing professional to become part of an expanding fleet division. This is a 100% onsite position requiring daily attendance at our Sanford location. Candidates must live within a reasonable commuting distance. Remote or hybrid work is not available. Key Responsibilities Receive and review vehicle sales documentation from Fleet Account Executives for accuracy and completeness. Create, enter, and load vehicle sales deals into the dealership management system (DMS) using the information and supporting documentation provided. Process and bill fleet vehicle transactions accurately and in a timely manner. Review purchase orders, buyer's orders, invoices, finance agreements, and other supporting documents to ensure transactions are properly structured and recorded. Verify customer information, vehicle identification numbers (VINs), selling prices, taxes, fees, and other transaction details. Process cash, financed, leased, and commercial fleet transactions, as applicable. Identify missing or incomplete paperwork and coordinate with Fleet Account Executives to obtain necessary information. Work closely with fleet sales, management, finance, and accounting personnel to resolve deal discrepancies. Prepare customer invoices and maintain accurate billing and transaction records. Assist with reconciliation of vehicle sales transactions and related accounting schedules. Monitor outstanding deals and ensure timely processing and completion. Maintain organized electronic and physical deal records. Assist with developing and improving billing and deal-processing procedures as the fleet division continues to grow. Perform additional accounting and administrative duties as assigned. Qualifications Previous automotive dealership billing or vehicle deal-processing experience required. Hands-on experience creating, entering, and processing vehicle deals in a dealership management system (DMS) required. Working knowledge of automotive Finance & Insurance (F&I) processes, including vehicle deal structure, finance contracts, and sales documentation. Experience with CDK and Reynolds & Reynolds strongly preferred. Candidates proficient in both systems are highly desirable. Previous fleet or commercial vehicle billing experience preferred but not required. Understanding of dealership accounting practices and vehicle sales transactions. Proficiency in Microsoft Excel, Outlook, and general office applications. Strong attention to detail, accuracy, and organizational skills. Ability to work independently, prioritize multiple transactions, and meet deadlines. Excellent communication and problem-solving skills. Dependable, punctual, and committed to working onsite daily.
