Applicants without relevant dispatching experience will not be considered for this position. Dispatcher, Local Delivery Supervisor Department: Bulk Plants Branch: New Castle, Reed Oil Reports: Branch Manager FLSA: Salary Position Overview : Individual will be responsible for local dispatching duties. Individual will develop and maintain sales to commercial, wholesale and homeowner’s accounts. Individual must be proficient in Microsoft Office with strong emphasis in Microsoft Excel and Outlook. Duties and Responsibilities · Responsible for entire order process, receives customer orders from Customer Service Representative, dispatches to driver based on district territory according to customer requests, specifications, or needs, using dispatch software, email or telephones · Receive inbound phone calls from customers to place orders and/or inquire about pricing. · Accurately complete order entry into ADDs computer program, verifying the customer name, address, phone number and directions to their location · Use telephones to reach out to customers and notify them of current order status. · Greet customers warmly and professional standard greeting · Maintains an accurate daily attendance roster of drivers and warehouse personnel · Receives and enters order from sales representatives or drivers into the order / dispatch system · Effectively communicate driving directions to customer homes based on knowledge of reading maps and map software · Advise drivers about traffic problems such as construction areas, accidents, congestion, weather conditions, and other hazards · Continually improves efficiencies by adhering to and improving upon established routes and branches. Develop innovative strategies to create greater profitability · Determine where to instruct single axle and tandem drivers to pull fuel by comparing daily inventory costs vs terminal pricing · Assist Branch Manager in making sure drivers follow all DOT regulations and hours of service rules. · Develops an understanding of customers’ needs and takes necessary action to ensure their needs are being met in a timely and satisfactory manner · Identify and address problem areas with drivers in a timely and constructive manor · Reports customer feedback and all customer complaints, including any sign of customer dissatisfaction, to appropriate management and/or consumer relations · Participate in driver management processes, such as selection, qualification or performance evaluations · Communicates to the branch manager matter concerning driver performance, delivery inefficiencies and customer concerns · Conducts monthly inventory process and ensures timely and accurate reporting of daily and end of month inventory for the assigned area and terminal · Maintains ability to perform efficiently, support efforts to achieve sales goals, and follow through on all details, in a fast-paced, customer focused environment · Provides leadership support to assigned branch during absence of the branch manager · Maintain reports, process documentation, customer service logs, training and safety records · The ability to prioritize deliveries each day so that the most important deliveries are completed to maximize customer satisfaction · The ability to organize resources so that information can be accessed quickly when needed · All other duties as assigned Skills and Specifications ·Relevant Dispatching Experience Required High School Diploma or equivalent · Ability to learn the delivery areas to coordinate driver’s deliveries · Ability to read maps effectively and work with map software · Must have working geograp…
