About the role
Reporting to the Operations Director, the Miami Warehouse Manager oversees daily distribution operations for our used and refurbished medical and surgical equipment business. This is a bilingual, hands-on player/coach role you will lead a team of three warehouse associates while actively participating in all aspects of operations, including receiving, testing, cleaning, kitting, storage, and careful outbound shipment of high-value medical devices.
This position also involves strategic collaboration with our broader warehouse network across Pittsburgh, Elkin, and Mokena. The ideal candidate is a disciplined, quality-first leader who takes pride in a clean and compliant facility, understands the responsibility that comes with handling medical-grade equipment, and knows that the job is not done until every order goes out the door.
What you'll do
Leadership & Team Development
- Lead, coach, and develop a warehouse team of three associates in a working-supervisor/player-coach capacity
- Partner closely and respectfully with the Sales/Office Manager; maintain a collaborative, communicative relationship across departments
- Conduct regular operations huddles, provide hands-on training, and foster a culture of teamwork, accountability, and continuous improvement
- Cross-train all team members across every function to ensure full operational coverage and workflow flexibility
- Champion a team-first mindset: when a teammate needs support, step in without being asked
Receiving, Testing & Quality Control
- Oversee the end-to-end receiving process for inbound medical and surgical equipment, ensuring accurate logging and immediate quality inspection upon arrival
- Direct the testing team to clean the interior of all equipment upon receiving by removing dust and debris using manual cleaning methods before any unit is shelved
- Ensure no untested or uncleaned item reaches the shelf under any circumstances; quality at intake is non-negotiable
- Maintain and enforce quality standards consistent with ISO or equivalent quality-management frameworks throughout all warehouse processes
Inventory Control & Warehouse Management Systems
- Maintain rigorous inventory accuracy through cycle counts, audits, and reconciliations to ensure minimal discrepancies
- Oversee the use of warehouse management systems (WMS) and ensure accurate, timely data entry by all team members
- Develop and implement strategies to optimize space utilization, improve workflow efficiency, and reduce costs
- Track and report key performance indicators (KPIs) including receiving timeliness, testing throughput, on-time shipments, order accuracy, and inventory turns
Shipping & Fulfillment
- Manage daily outbound fulfillment for medical and surgical equipment, ensuring all shipments are packed carefully, labeled correctly, and dispatched on time
- Prioritize a 5:00 PM carrier pickup; coordinate with the team so all express orders are always out the door before carriers depart
- Ensure same-day shipment of all express orders without exception
- Collaborate with the Acquisitions and Sales Operations Teams on resource planning and on-time order fulfillment
- Handle budgeting, forecasting, and reporting for warehouse operations in alignment with financial targets set by the Operations Director
Safety, Compliance & Facility Standards
- Ensure compliance with all corporate Environmental Health & Safety (EHS) standards and implement proactive measures to protect both employees and high-value medical products
- Maintain a clean, organized, and inspection-ready facility at all times
- Drive continuous process improvement initiatives across Miami operations and, where applicable, collaborate on improvements across the wider warehouse network
Customer Experience
- Greet customer warmly and represent the brand with professionalism and a positive attitude
- Assist customers with loading purchases into their vehicles
- Serve as the bilingual point of contact for Spanish-speaking customers; strong English communication is equally required
Qualifications
Required
- Bilingual — fluent in spoken Spanish and English (written Spanish not required; strong written English preferred)
- Proven leadership experience in a warehouse, distribution, or fulfillment environment
- Forklift certified (active certification required or ability to certify upon hire)
- Demonstrated experience working in an ISO-compliant, quality-first, or regulated warehouse environment
- Strong knowledge of inventory control processes, cycle counting, and WMS platforms
- Exceptional interpersonal skills; friendly, respectful, and a natural team player
Preferred
- Experience handling medical devices, surgical equipment, or other regulated/high-value products
- Prior experience in a player/coach or working-supervisor role
- Exposure to multi-site warehouse operations or cross-location coordination

Hours of Operation: Monday – Friday, 8:30 AM – 5:30 PM. Additional hours may be required to ensure all daily shipments are completed.
