Trucking & Rentals Coordinator

Position Summary The Trucking & Rentals Coordinator oversees trucking and rental equipment needs for jobs across Florida and out-of-state, ensuring materials and rentals are covered, all required paperwork is in place, and approvals are handled through the office. This role manages the daily trucking schedule (dispatch), communicates with drivers and Project Managers throughout the day, and documents rental equipment condition to protect the company from unnecessary fees or damage claims. Duties & Responsibilities Trucking & Rentals Oversight (Florida & Out-of-State) Oversee trucking and rental equipment needs for jobs across Florida and out-of-state, making sure all materials and rentals are covered. Ensure all required paperwork is completed and in place for trucking and rental equipment. Handle trucking and rental approvals through the office. Communicate with the Fleet Department on the equipment ready-to-use list before equipment is moved to a job site Project Manager Communication/ Fleet Department Communicate with Project Managers weekly to review their trucking, material, and rental needs. Follow up on emails in a timely manner. Obtain subcontracted trucking when the schedule is too full to cover with company trucks. Trucking Schedule & Dispatch Build and manage the daily trucking schedule (dispatch) for all jobs. Communicate with drivers on materials needed, and the quarries, asphalt plants, or disposal locations required by the schedule. Follow up with drivers throughout the day to track progress. Check in with drivers at the end of each day on what was not completed and reschedule as needed. If the schedule is too full, work with the Project Manager on a solution and follow up with them the same day. Rental Equipment Documentation Take photos of rental equipment when it arrives on the job site. Follow up with the Project Manager on the status of rental equipment. Take photos of rental equipment before it is returned, to avoid unnecessary fees or damage claims.
