Reddy Reds TruckinOverview Reddy Red’s Truckin is seeking a highly organized, detail-oriented, and dependable Hybrid Billing Specialist to support our daily transportation operations, freight billing, and administrative processes. This position involves managing billing documentation, coordinating load assignments, maintaining accurate records, communicating with brokers and drivers, and ensuring daily operational deadlines are met. The ideal candidate must be proactive, resourceful, comfortable multitasking, and capable of resolving issues independently in a fast-paced environment. Responsibilities Freight Billing Administration: Prepare, review, and process freight billing documentation to ensure accurate and timely payment submissions. After-Hours Coordination: Complete necessary next-day load preparations, management communications, and driver notifications outside standard business hours when required. Operational Problem-Solving: Identify, investigate, and resolve time-sensitive administrative, billing, and shipment-related issues. Daily System Monitoring: Review ROVEXONE and related business platforms to identify missing information, incomplete records, and required updates. Weekly Load and Revenue Reporting: Prepare and reconcile weekly load reports, verifying shipment information and revenue totals. Broker and Driver Communications: Maintain professional communication regarding shipment updates, estimated arrival times, pickups, deliveries, and documentation requests. Advance Driver Notifications: Communicate next-day load details and equipment requirements to drivers, ensuring they receive adequate notice to prepare. Equipment Requirement Coordination: Review load specifications to identify necessary equipment, including trailer types, tarps, chains, binders, and other securement requirements. Load Entry and Assignment Administration: Upload shipment details into ROVEXONE and assign loads to drivers based on management's dispatch instructions. Factoring and RTS Account Management: Submit invoices, complete manual billing uploads when necessary, monitor factoring activity, and resolve rejected or duplicate submissions. Billing Discrepancy Resolution: Investigate and correct billing inconsistencies, missing documentation, payment discrepancies, and outstanding invoice issues. Factoring Reserve and Deduction Monitoring: Track factoring reserves, deductions, and adjustments to maintain accurate financial records. Freight Billing Administration: Prepare, review, and process freight billing documentation to ensure accurate and timely payment submissions. Rate Confirmation and BOL Reconciliation: Verify that bills of lading (BOLs), rate confirmations, and shipment details match before processing invoices through ROVEXONE and RTS. Work Environment This is a Tulsa-based hybrid position with an initial two-week in-person training period, followed by the opportunity to work partially from home. The position requires strong time management, attention to detail, independent decision-making, and consistent communication with company management.
