Position Summary The Trailer/Truck Yard Coordinator is responsible for the effective management and coordination of all trailer and yard-related activities. This role ensures company trailers are properly maintained, licensed, tracked, fueled, and cleaned while maintaining compliance with regulatory requirements and company standards. Job Duties: Conduct routine condition and safety inspections of trailers, document deficiencies, create and retain complete service records, and confirm that corrective work is completed before equipment is released for operational use. Work closely with internal and external service technicians to diagnose reefer issues, coordinate emergency and planned repairs, monitor repair status, and minimize equipment downtime and disruption to temperature-controlled operations. Maintain accurate and current trailer registrations, permits, licence documentation, inspection certificates, and related compliance records, ensuring documents are readily available for audits and roadside requirements. Track expiry dates and coordinate all required renewals, annual inspections, and regulatory appointments in advance to prevent lapses in licensing or interruptions to trailer and truck availability. Monitor trailer and trailer locations, status, dwell time, and utilization through physical yard checks and GPS fleet-management systems; reconcile discrepancies and provide accurate availability information to operations. Review daily driver and shunter reports for defects, damage, location discrepancies, delays, or safety concerns; investigate reported issues, document findings, and coordinate timely corrective action. Coordinate fuel deliveries by monitoring inventory levels, forecasting operational demand, scheduling suppliers, confirming site access, and ensuring deliveries are completed safely without disrupting yard activities. Verify delivered fuel quantities against purchase orders, meter readings, and supplier documentation; investigate shortages, overages, or unexplained consumption and escalate unresolved variances as required. Schedule trailer cleaning, sanitation, and washouts according to load requirements, customer specifications, and operational priorities, coordinating internal resources or approved vendors to ensure timely completion. Ensure the required number and type of serviceable trailers are available to meet daily operating plans by reviewing demand, prioritizing repairs and cleaning, and communicating shortages or constraints to operations. Maintain accurate trailer inventory records, including unit numbers, ownership or lease status, equipment type, current location, condition, service status, and availability; regularly reconcile system records with physical counts. Promote and reinforce company safety policies, safe work procedures, and regulatory requirements through daily communication, coaching, hazard awareness, and consistent follow-up on unsafe conditions or practices. Conduct documented safety inspections of the yard, trailers, fuel areas, and related equipment; identify hazards, assign corrective actions, and monitor completion within established timelines. Promptly report, document, and investigate incidents, injuries, property damage, spills, and near misses; gather relevant information, identify contributing factors, support corrective actions, and escalate matters in accordance with company procedures. Other related duties as assigned. Qualifications 3-5 years of transportation, fleet, logistics, or yard management experience. Experience with Samsara or similar GPS fleet management systems. Strong organizational, communication, and problem-solving skills. Solid knowledge of Microsoft Office. Ability to communicate effectively with a diverse team. Understanding of CVOR requirements and Driver’s logs. Work Environment Working outside in all weather conditions. Office is located in a warehouse operation.
