Transportation Secretary - Clerical (D)
ConfidentialReports To: Transportation Supervisor FLSA Status: Non-Exempt Department: Transportation Position Summary The Transportation Clerical (D) provides high-level administrative, secretarial, and operational support to ensure the safe, efficient, and compliant operation of the district Transportation Department. This position serves as a primary operational liaison among department leadership, school administrators, bus drivers, vehicle maintenance staff, district personnel, and parents/guardians. Key Responsibilities & Essential Duties Daily Dispatch & Operations Support Serve as the central communications contact for bus drivers and field personnel via two-way radio, telephone, and messaging systems during morning, afternoon, and after-school route runs. Monitor daily route coverage, driver attendance, and substitute assignments, coordinating driver coverage, route doubling, and scheduling substitute bus drivers to ensure full operational coverage. Maintain real-time logs of route delays, accidents, road hazards, mechanical issues, and driver emergencies, dispatching appropriate assistance as necessary. Coordinate bus driver workloads, assign relief drivers, instruct new drivers on office procedures, bus rules, and field trips, and maintain accurate driver logbooks and duty schedules. Work with the maintenance staff to coordinate regular service schedules and repair downtime for fleet vehicles. Assist the Transportation Supervisor in daily operations. Student Data & Route Management Assist in building, maintaining, and updating district, special program, and routing systems with student addresses, stop locations, special accommodations, route changes, field trips, and cancellations. Process new transportation requests, address adjustments, and route changes in a timely and efficient manner. Customer Service & Stakeholder Communication Manage incoming calls, departmental email inquiries, opening of school mailings, bus passes, and bulk mailings, serving as a primary public interface for Winton Woods Transportation Department. Address parent, public, and school staff concerns regarding route schedules, bus stops, and operational policies with tact and professionalism. Qualifications & Requirements Education: High school diploma or GED required. Associate degree or coursework in business administration, secretarial science, or public administration preferred. Experience: Minimum of two (2) years of administrative, secretarial, or dispatch experience (prior experience within a public school district or transportation environment highly desirable). Technical Proficiency: High proficiency with Microsoft Office Suite (Word, Excel) and Google Workspace. Experience with Student Information Systems (SIS) and routing software (e.g., Transfinder, Versatrans, Traversa, and Dasl) preferred.
