Transportation Operations Coordinator

Job Summary Ayala Transport LLC is seeking an organized, dependable, and detail-oriented Transportation Operations Coordinator to support daily transportation activities and ensure efficient coordination across operations. The ideal candidate has strong communication and problem-solving skills, can manage multiple schedules, and works effectively with drivers, dispatch personnel, customers, and management. In this role, you will coordinate transportation schedules, assist with vehicle and driver assignments, monitor trip progress, maintain operational records, and communicate important service updates. Your contribution will help promote timely transportation services, organized workflows, and reliable daily operations. Key Responsibilities Coordinate daily transportation schedules, assignments, and service requests. Organize driver and vehicle assignments based on availability and operational requirements. Communicate pickup and delivery details, destinations, schedules, and instructions to drivers. Coordinate with dispatch personnel to support efficient transportation planning. Monitor scheduled trips and follow up on delays, route changes, or operational issues. Communicate schedule updates and service changes to customers and relevant team members. Assist with resolving scheduling conflicts and arranging alternative transportation when necessary. Maintain accurate records of trips, vehicle assignments, driver schedules, and completed services. Prepare and organize transportation reports, service documents, and operational records. Track vehicle availability and communicate maintenance or inspection needs to supervisors. Follow up on transportation requests to help ensure timely completion. Support communication between drivers, customers, vendors, and management. Identify operational concerns and report them to the appropriate supervisors. Follow company policies and applicable transportation and workplace safety requirements. Perform additional administrative and coordination duties as assigned. Requirements and Qualifications Previous experience in transportation, logistics, dispatch, fleet coordination, or customer service is preferred but not required. Strong verbal and written communication skills. Excellent organizational and time-management abilities. Attention to detail when handling schedules and transportation documentation. Basic computer skills, including email, spreadsheets, and data entry. Ability to coordinate multiple tasks and adjust to changing priorities. Strong problem-solving and decision-making skills. Professional and customer-focused attitude. Dependable, punctual, and willing to learn. Ability to work independently and collaboratively with a team. Flexibility to work scheduled shifts, including weekends or holidays when required. Work Environment This position involves working in a transportation and logistics operations environment. Daily activities may include coordinating driver schedules, monitoring transportation assignments, communicating with customers, and maintaining operational documentation. The role requires flexibility, accuracy, and the ability to manage changing transportation needs in a fast-paced setting.
