Position Summary: As a key player and leader of the Operations leadership Team, the Transportation Manager will have overall leadership of transportation department. The Transportation Manager is responsible for communicating with the team, attending leadership meetings, and ensuring routes are properly scheduled and completed. They will coordinate the day-to-day transportation operations that include fleet management, hiring, onboarding, coaching. corrective action, and terminations with support from HR and their senior leader. The Manager will prioritize safety and DOT compliance efforts. This role will collaborate cross-departmentally, communicate to all necessary departments, and ensure customer service expectations are consistently met and exceeded. The Transportation Manager is expected to model excellent behaviors and best practices that motivate the team and contribute to positive morale. This role will also ensure there is adequate team development through training, professional development, and ongoing coaching.
Responsibilities include, but are not limited to, the following:
Fleet Management
- Responsible for monitoring commercial fleet daily inspections via technology and physical onsite efforts.
- Manage all of the organization fleet (including passenger and smaller units) maintenance and repairs. Provide Chief Financial Officer and Chief Operating Officer with a weekly Repair & Maintenance log and communicate any major fleet issues.
- Develop and ensure a schedule of cleaning for all of the organization fleet is established and adhered to.
- Maintain Fleet Inventory document and provide quotes/bids for new units as needed. Develop and maintain a plan for vehicle retirement/replacement. Fleet strategy and capital planning to include budget planning and cost control for transportation operations.
- Obtain periodic procurement bids for fuel, repairs, maintenance, and any other vendors that are used.
- Manage vendor relationships.
Safety and Compliance
- Have knowledge and ability to initiate, monitor, direct, and train on all AZDOT/USDOT-mandated inspections, paperwork, and monthly/annual reports.
- Maintain driver's roster with expiration dates of compliance requirements.
- Maintains specific Department of Transportation compliance to include but not limited to: Driver’s license/CDL renewals, medical examiners certificate renewals, annual review of all driver’s "Motor Vehicle Records,” annual review of all driver’s "Certificate of Violations,” annual vehicle inspections, and review driver "Qualification Files" to ensure they follow DOT requirements.
- Observe and promote established safety procedures and maintain a clean working environment. Participate in Safety Committee meetings and activities.
Staff Support
- Ensure and assign monthly driver training through an online program.
- Manage all Drivers, including interviewing, hiring, orientation, training, coaching, and termination, as needed.
- Develop a training document and instruct Transportation Lead on all critical aspects of daily transportation activities for the purpose of providing coverage for when the Transportation Manager is out of the office. Integrate continuous training and support on all transportation issues.
- Schedule and prepare monthly drivers’ meetings to communicate upcoming events, trainings, changes, and issues affecting drivers and fleet.
- Model and encourage customer service expectations are consistently exceeded.
- Provides solutions and exercises independent judgment when encountering issues and empowers drivers to exercise independent judgment.
- Collaborate and support Waste Not’s Operations Manager to cover routes, improve efficiencies, and support large-load pickups and deliveries as needed.
- Work closely with the Transportation Coordinator on scheduling and routing, ensuring alignment with agency deliveries and food sourcing needs.
Product Management and Movement
- Monitor and evaluate the efficiency of all product movement.
- Work with Transportation Coordinator to set up and maintain documentation process for daily outbound deliveries and inbound receiving log.
- Oversee the assignment of driver’s routes that include agency deliveries, food drive/product pickups/store routes, and any special assignments.
- Develop and maintain knowledge of software currently in use and how to effectively use the software. Identify opportunities for simplification, increased effectiveness, and efficiencies, and promote these changes.
Qualifications: (Knowledge, Skills, and Abilities)
- Passion for alleviating hunger and aligned with our mission and values
- Associates (AA) degree or combination of education and experience in Transportation operations
- Minimum of 3-5 years of experience in transportation/delivery, operations management, or a similar leadership role
- Option A (Recommended): Valid Class A CDL preferred
- Option B: Valid Class A CDL required
- Option C: Valid CDL or ability to obtain within X months
- Supervisory and/or managerial experience
- Knowledge of OSHA, AZDOT, and USDOT, and other regulatory requirements
- Ability to collaborate effectively with cross-departmental teams
- Results-driven mindset with a focus on achieving organization objectives
- Excellent communication and interpersonal skills
- Experience in implementing and managing software and systems
- Proven track record of improving operational efficiency and performance
- Strong leadership skills with the ability to inspire and motivate team members
- Proficiency in office software, including Microsoft Word, Excel, and Outlook
- Project Management skills including planning, organizing, and coordinating tasks
- Ability to assume responsibility and work independently.
- Detail-oriented with adherence to deadlines.
- Preferred experience with Food Safety
- Must become ServSafe Certified within 6 months of hire
- Forklift certification of classes 1, 2, and 3
- Excellent verbal communication skills and the ability to communicate effectively with people of diverse backgrounds and socioeconomic status
- Exhibits qualities of maturity, good judgment, and tact
- Ability to effectively analyze and resolve routine and complex problems
- Ability to multi-task many projects at the same time while meeting deadlines
- Must have a valid Arizona Driver’s License, with clean driving record (required)
- Up to 5% local travel (to distribution events or our other UFB warehouse location in Mesa
