Job Title: Warehouse Administrator - Mesa, Arizona

Job purpose

The Warehouse Administrator (WA) assist warehouse and pre-fabrication with daily operating processes: Timecards, computer tracking, billing, and recording transmittals.

Essential Duties & Responsibilities

  • Coordinate with warehouse lead to ensure deliveries are prepared and ready to ship; generate transmittals.
  • Serve as dispatch by coordinating delivery schedules with drivers.
  • Liaise with site personnel and material handlers to manage daily deliveries (time, location, entrances, special requests, tool/material pickups).
  • Schedule and arrange UPS shipments, will calls, jobsite deliveries, LTL shipments, and couriers.
  • Work with warehouse manager to coordinate prefab deliveries to job sites.
  • Maintain Smartsheets (Shipping Brain, shipping log), transmittals, and inter-office mail.
  • Upload daily Pre-Task Plans (PTPs), transmittals, and shipping packers to Warehouse SharePoint.
  • Organize and maintain SharePoint documents, including packing lists and transmittals.
  • Perform daily transmittal reconciliation, ensuring all transmittals are attached to delivery archive lines.
  • Update OFCI inventory in Smartsheet.
  • Transcribe daily Pre-Trip QA/QC sheets.
  • Print weekly sign-in sheets and report timekeeping to the warehouse manager.
  • Submit FMR requests for warehouse and office supplies.
  • Support warehouse operations with administrative tasks as needed.
  • Collaborate with the Safety Administrator to fulfill quarterly ADOT MVR driver requirements.

Qualifications

  • Office experience required.
  • Valid Drivers license
  • Field experience preferred.
  • Some college preferred; HS/GED required.
  •  Preferred experience in a supervisory role.
  • Excellent customer service skills.
  • Basic knowledge of MS Office Suite, especially Excel.
  • Ability to work in a fast-paced environment.
  • Provide innovative thinking to improve processes.
  • Strong organizational skills.
  • Strong communication skills.
  • Ability to problem solve.

Physical Demands

The physical demands described here are representative of those that must be met by a Warehouse Administrator to successfully perform the essential functions of this job.

 

Must be able to stand/walk for long periods of time (8 hours or more); bend/stoop, kneel/crouch; lift move or push up to 25 lbs; good manual dexterity (use/management of tools); Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Work Environment

Generally Monday – Friday during normal business hours (required to respond to after-hours requests); primarily indoors (warehouse); warehouse temperatures varies by season; some office work in a temperature-controlled environment; may encounter noise from machinery/equipment/vehicles. Primarily will be onsite.

 

While performing the duties of this job, the WM may be exposed to fumes or airborne particles, moving mechanical parts and vibration; may be exposed to a variety of extreme conditions while on construction job sites (weather, noise, etc.)
