Job Type: Intern/ Weekend Heavy (October 2026 – January 2027) Location: World Equestrian Center – Ocala Overview The Sports Operations Intern will assist in frontline execution, guest relations, and logistical delivery of all active programming within the Sports at WEC portfolio. This role is designed to provide an immersive, hands-on experience in high-volume sports venue management, database coordination, and elite guest service execution within a world-class resort environment. Key Responsibilities Logistics, Physical Staging & Match-Day Field Ops On-Field Match Day Ops: Lead the physical staging, setup, and teardown of all match-day field configurations, including the manual transportation, positioning, and anchoring of goals, player benches, corner flags, and field dividing systems. High-Velocity Changeovers: Execute time-sensitive field and court transitions between staggered tournament flights, ensuring immediate refuse clearing, equipment resets, and venue readiness parameters are met without disrupting event schedules. Equipment Inventory & Asset Tagging: Own the physical auditing, organizational tagging, and digital logging of all division athletic assets (including training gear, specialized goals, and tournament hardware) into the inventory tracking database. Pre-Event Safety Audits: Conduct meticulous pre-match facility walkthroughs across the outdoor field clusters and indoor footprints to guarantee equipment integrity, perimeter security, and safety protocols meet property standards. Support Partner Coordination: Coordinate directly with internal campus support partners (Facilities, Janitorial, Security, and F&B) based on pre-approved operational notification triggers and thresholds. Digital File Management: Organize the division's secure cloud repository, ensuring tournament files, playbooks, and standardized administrative templates are organized and accessible. Procurement Logs: Assist in tracking incoming division packages and equipment, verifying physical delivery receipts against open requests. Frontline Event Delivery and Programming Execute daily tournament and active programming operations, including participant check-ins, credential distribution, and roster verification. Serve as a visible, proactive guest relations point of contact at entry gates, information hubs, and spectator spaces to ensure an elite property experience. Information Hub Support: Assist at central communication hubs during major tournament windows, providing high-level information updates, template-based communication support, and administrative assistance to internal and external programming. Communications, Database & Inbox Management Calendar & Schedule Support: Synchronize day-to-day divisional schedules, tracking meeting alignments and protecting core planning timelines. Administrative Project Closure: Assist leadership by executing necessary data entry, status updates, and digital log updates once operational plans are finalized. Campus Liaison: Act as an internal point of contact for campus support departments (including Marketing, Facilities, HR, and Central Receiving) to route routine coordination updates cleanly. Serve as the primary administrative manager of the general sports division inquiry inbox, ensuring a high-velocity response tempo. Own the initial vetting, sorting, and routing of all incoming communications from prospective tournament organizers, local leagues, and field use requests. Utilize Bond, Stripe, and Sigma platform systems to review basic registration reports, track open-play pass holder usage, and troubleshoot basic front-facing transaction issues. Respond directly to routine, standardized inquiries regarding field availability, active programming schedules, and general operational policies utilizing pre-approved templates.
