Senior Project Manager - Trade Show & Events

Position Summary The Trade Show Senior Project Manager leads the planning, management, coordination, and execution of complex custom trade show exhibit projects from project kickoff through post-show closeout. Serving as a trusted advisor for key clients, this role is responsible for managing project scope, schedules, budgets, logistics, vendor coordination, and show-site execution while ensuring projects are delivered on time, within budget, and in accordance with Company quality and safety standards. The Senior Project Manager partners closely with Sales, Design, Engineering, Graphics, Operations, Logistics, Procurement, and Executive Leadership to deliver exceptional customer experiences, drive project profitability, mentor Project Managers and Associate Project Managers, and support continuous improvement across the Project Management function. Essential Duties and Responsibilities Lead the planning, management, coordination, and execution of complex, high-value, multi-show, and strategic custom trade show exhibit projects from project kickoff through post-show closeout. Serve as a trusted advisor and primary point of contact for key client accounts by providing strategic guidance, proactive communication, and exceptional customer service throughout the project lifecycle. Develop and manage project scope, schedules, budgets, critical milestones, logistics, and project documentation to ensure projects are delivered on time, within budget, and in accordance with Company quality standards. Oversee exhibitor services, permits, labor coordination, freight, transportation, material handling, installation, dismantle activities, and other project logistics to support successful show-site execution. Interpret project specifications, CAD drawings, floor plans, and customer requirements to ensure compliance with venue regulations, safety requirements, and Company standards. Collaborate with Sales, Design, Engineering, Graphics, Operations, Warehouse, Logistics, Procurement, and other cross-functional teams to ensure operational alignment and successful project execution. Build and maintain strong client relationships by managing expectations, resolving complex issues, identifying opportunities to enhance customer satisfaction, and supporting long-term account growth and retention. Monitor project performance, budgets, schedules, risks, profitability, and operational metrics while implementing solutions, resolving project challenges, and escalating issues as appropriate. Maintain accurate project records, contracts, financial documentation, change orders, and updates within the Company's Customer Relationship Management (CRM) system and project management software. Provide leadership, coaching, mentoring, and technical guidance to Project Managers, Associate Project Managers, and project support staff to promote professional development, consistency, and operational excellence. Serve as the department subject matter expert for project management best practices, trade show operations, client service standards, and project execution processes while supporting onboarding, training, knowledge sharing, and continuous learning. Partner with leadership to support resource planning, workload balancing, project prioritization, process improvement initiatives, and the continuous enhancement of project management standards and operational performance. Promote compliance with Company policies, client requirements, venue regulations, safety procedures, and industry best practices while fostering a safe, productive, and customer-focused work environment.
