Senior Office Administrator
SunFoods, LLCJob Summary We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will be responsible for performing customer service, accounting, and distribution administrative duties relative to Hawaii operations. Responsible for assisting with key operations for Hawaii management team. Responsible for safety activities to maintain a healthy and safe working environment for SunFoods, LLC Hawaii facilities. Duties Responsible for answering incoming calls, emails and other messages from internal and external customers by providing timely and accurate verbal and written information. Responsible for day-to-day processing of customer orders both timely and accurately across all relevant platforms. Assist with all dispatch and scheduling of customer orders, as well as billing and monitoring order fulfilment. Responsible for auditing sales order entries and shipping documents for accuracy and implement corrective action between departments/systems. Assist with discrepancies between sales and customers arising from order transactions and implement corrective action between departments/systems. Responsible for researching deductions from customers and timely communication with Corporate Office Accounting team. Responsible for routine and non-routine inventory management tasks. Assist with NCR quality control process, including liaising with customers and following up resolution. Assist with account portals/websites. Responsible for routine review and updating of documented operational and administrative procedures. Responsible for scanning documents to appropriate departments timely. Assist with Identify process improvements in the management of customer billing and order fulfilment. Responsible for completing all safety documents required for office and warehouse on a routine basis. Responsible for actively identify potential hazards and conduct periodic health and safety inspections of all workplace facilities. Assist and/or lead safety meetings, trainings, and incident investigations. Responsible for reviewing safety program/policies/procedures for accuracy, maintaining documents and procedures, and ensuring organization of health and safety documents/systems. Assist with health and safety audits and inspections. Responsible for liaising with Mainland Safety team for support/assistance. Assist with special projects or other duties as required. A.) from four-year college or university; or two to five years’ related experience and/or training; or equivalent combination of education and experience. Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
