The Sales Operations Coordinator will support the day-to-day operations of the Sales team, ensuring flawless execution across order management, distributor coordination, and sales enablement processes. This role is central to maintaining strong communication between the internal sales organization, distributors, and key retail partners, with a particular focus on operational accuracy, efficiency, and responsiveness.
Compensation: $64,000- 75,000
Bonus Eligibility: 5% annual bonus
Hybrid Schedule: This role is a hybrid position in our Culver City office with the expectation of three days onsite, Tues, Wed and Thursday.
Key Responsibilities
1. Sales Operations & Order Management
- Review and approve daily zero-dollar orders, ensuring they meet internal approval criteria.
- Coordinate and process special and sample orders for sales reps and key accounts.
- Manage monthly car stock orders for field sales reps, ensuring accurate replenishment and timely delivery.
- Process and reconcile loyalty rebate submissions.
- Maintain organized logs of free goods, samples, and promotional order requests.
3. Data Analysis
- Analyze data around pricing, account growth and territory performance to support sales team communication and strategic initiatives
- Track and document house account flips, monitoring frequency and identifying potential conflicts with Inside Sales.
- Manage account bucket changes and update systems accordingly.
- Support house account request approvals and maintain associated records.
4. Sales Communication & Enablement
- Draft and distribute email and text templates for sales promotions, ensuring consistency across the team.
- Support execution of Sales Challenges (leaderboards, prizes, etc.)
- Support creation of presentation materials to Sales Teams (new initiatives, Monthly Sales calls, etc.)
- Communicate key updates to the sales team, including inventory status, promotions, and account changes.
- Maintain the educator ride-along tracker, updating logs and reporting metrics as needed.
- Serve as a go-to operational resource for the Sales team, ensuring they have the tools and information needed to execute effectively.
5. Distributor Operations
- Manage daily operational touchpoints and order flow with key distributors and retail partners.
- Place and track purchase orders with distributors; follow up on backorders and communicate stock or shipping updates.
- Ensure any changes in pricing are accurate and communicated
- Process and track special order requests from West Coast Beauty, SSG and other partners (e.g. Chatters).
- Liaise with distributor contacts on out-of-stock communication, pricing confirmations, and PO accuracy.
- Support logistics for promotions, new product launches, and sales campaigns, ensuring coordination between internal teams and partners
- Support calculation of DSC SPIFFs
- Coordinate between distributor and Education team for classes
Required Skills & Qualifications
- Bachelor’s degree in Business, Marketing, Data Analytics, or a related field required.
- 2–5 years of experience as a Sales Operations Specialist or Sales Analyst, preferably supporting a sales territory function.
- Experience within the Beauty industry (haircare, cosmetics, fragrance, fashion etc.) preferred
- Strong analytical skills with the ability to interpret complex data and translate insights into actionable recommendations.
- Proficiency in CRM and ERP systems; Salesforce experience preferred.
- Advanced Excel and PowerPoint skills, with strong attention to formatting and presentation.
- Excellent organizational and multitasking abilities, capable of managing competing priorities in a fast-paced environment.
- Exceptional written and verbal communication skills, demonstrating clarity and professionalism.
- Customer service–oriented mindset with a proactive, relationship-driven approach to internal and external partners.
- Strong problem-solving skills, with the ability to identify bottlenecks and implement efficient solutions.
- Meticulous attention to detail, ensuring a high level of accuracy in order entry, tracking, and reporting.
