Retail Inventory & Purchasing Coordinator

About the Role We’re looking for a detail-oriented, proactive Retail Logistics & Workflow Coordinator to keep inventory accurate, maintain appropriate stock levels, and coordinate purchasing from vendors across our retail and warehouse operations. Your primary focus will be ensuring we have the right products, in the right quantities, in the right locations. You’ll monitor inventory thresholds, manage replenishment and purchase orders, investigate discrepancies, and help teams follow consistent receiving and inventory procedures. What You’ll DoInventory Accuracy & Control Conduct standardized inventory counts at retail locations and warehouses, including cycle counts and full physical audits. Investigate inventory discrepancies, document variances, and coordinate corrections using established approval procedures. Monitor receiving, put-away, transfers, and inventory rotation to keep physical stock aligned with inventory records. Review product locations, oversee new inventory placement, and coordinate consolidations to keep storage areas organized and accessible. Uphold loss prevention standards and identify recurring sources of inventory loss or error. Inventory Thresholds & Replenishment Establish and maintain minimum and maximum inventory levels based on sales trends, vendor lead times, seasonality, and storage capacity. Monitor stock levels and coordinate replenishment to reduce stockouts and excess inventory. Identify slow-moving, overstocked, or aging products and recommend transfers or purchasing adjustments. Partner with store, warehouse, and buying teams to balance inventory across locations. Purchasing & Vendor Coordination Prepare and place purchase orders within approved budgets and purchasing guidelines. Track open orders, confirm delivery timelines, and follow up on delays, backorders, and partial shipments. Verify received quantities against purchase orders and coordinate resolution of shortages, damaged goods, and incorrect shipments. Maintain accurate purchasing records, vendor information, and order status updates. Communicate inventory needs and vendor issues to the appropriate teams. Workflow & Team Support Develop and improve procedures for receiving, inventory counts, replenishment, and inventory documentation. Review inventory and purchasing data to identify trends and recommend practical improvements. Conduct store visits as needed to audit inventory practices, train team members, and reinforce consistent procedures. Provide hands-on guidance and follow-up to help teams meet inventory and organizational standards. Coordinate daily priorities across stores, the warehouse, and buying teams to keep products moving efficiently. What You’ll Bring Experience in retail inventory, warehouse operations, purchasing, or a related role. Strong attention to detail and a consistent approach to recordkeeping and follow-through. Comfort using inventory management systems, point-of-sale platforms, and spreadsheets. Ability to analyze inventory data, investigate discrepancies, and turn findings into clear action. Strong organizational skills and the ability to manage competing priorities. Clear communication skills and confidence working with vendors and teams across multiple locations. A practical, collaborative approach to training and process improvement. Availability to travel between retail and warehouse locations as needed.
