Receiving and Materials Associate
Urban Accessories Inc.Position Summary The Receiving and Materials Associate owns the front end of UA's material flow. Everything that comes through the dock gets received, verified, organized, and put away accurately and on time. This role confirms incoming materials against purchase orders and sales orders in Fulcrum, completes the receiving transaction on both the physical and financial sides so Purchasing and Accounts Payable can rely on it, and keeps raw material and component storage organized so Foundry, Fab Shop, Powder Coat, and the Wood/Pattern Shop always know where to find what they need. This role also supports outbound shipping and UA's cycle count and physical inventory program. Key Responsibilities Receiving and Material Handling Unload incoming trucks and deliveries safely, using a forklift, pallet jack, or hand truck as appropriate to the load. Inspect incoming materials for damage, shortages, and correct item, grade, and quantity before accepting a delivery. Verify shipment contents against the packing slip, bill of lading, and the corresponding purchase order or sales order. Organize and put away received material in its designated location, keeping storage areas labeled, orderly, and accessible. Route or stage materials to the correct department (Foundry, Fab Shop, Powder Coat, Wood/Pattern Shop) based on production need. Flag discrepancies, damage, or non-conforming material to the Supervisor/Manager and Quality for disposition before it reaches production. Sales Order Identification and Fulcrum Transactions Identify which sales order or job a received item or customer-supplied material belongs to, using Fulcrum to confirm the match. Enter receiving transactions in Fulcrum against the correct purchase order line, updating quantities and locations in real time. Complete the financial side of receiving in Fulcrum (PO receipt matched to quantity and unit cost) so it supports the three-way match between purchase order, receipt, and vendor invoice for Accounts Payable. Maintain clean, timely records so open purchase orders, receiving status, and material availability in Fulcrum reflect what is physically on the floor. Communicate receiving exceptions (short-ships, over-shipments, pricing or PO mismatches) to Purchasing for resolution. Shipping and Inventory Support Assist the shipping team with staging, packing, labeling, and loading outbound orders as workload requires. Participate in scheduled cycle counts, reconciling counted quantities against Fulcrum and researching variances. Support periodic physical inventories, including preparation, counting, and reconciliation. Help maintain inventory accuracy across raw material, WIP staging, and finished goods storage locations. General Duties Follow all company safety policies and procedures. Maintain organized and accurate receiving and inventory records. Support continuous improvement initiatives across operations. Foster positive working relationships with cross-functional teams, including Purchasing, Accounting, Quality, and shop personnel. Perform additional duties as assigned to support operational goals. Physical Demands and Work Environment Regularly lifts and carries material up to 50 lbs.; occasionally moves heavier loads with mechanical assistance (forklift, pallet jack, hoist). Frequent standing, walking, bending, and reaching; work is performed on the shop floor and outdoor dock/yard areas, with exposure to noise, dust, temperature changes, and moving equipment typical of a foundry and fabrication shop. Required personal protective equipment (safety glasses, steel-toe boots, hi-visibility vest, and other PPE as designated) must be worn per UA safety policy. Qualifications Required High school diploma or equivalent. Six months to two years of experience in receiving, warehouse, materials handling, or shipping.
