Purchasing & Operations Coordinator

Job Summary We are seeking a detail-oriented, organized, and proactive Purchasing & Operations Coordinator to join our team in Stafford, Texas. This position is responsible for coordinating purchasing activities, managing supplier communications, tracking shipments, monitoring inventory, processing customer orders, and supporting accounts receivable and daily business operations. The ideal candidate will have 1–3 years of relevant experience, strong communication and organizational skills, and the ability to coordinate effectively with overseas suppliers, primarily in China, as well as domestic customers, warehouses, and logistics providers. Fluency in both English and Mandarin Chinese is required for effective communication with international suppliers and internal teams. Key Responsibilities Purchasing & Supplier Coordination Coordinate purchasing activities with overseas suppliers, primarily in China. Prepare, issue, and track purchase orders (POs). Communicate with suppliers regarding product pricing, availability, production schedules, and delivery timelines. Obtain and compare quotations from manufacturers to support cost-effective purchasing decisions. Monitor production progress and follow up on delayed orders to ensure timely delivery. Review supplier invoices, packing lists, and purchasing documents for accuracy. Track factory inventory levels and product availability. Maintain accurate purchasing records and supplier information. Logistics & Transportation Coordination Coordinate international and domestic shipping arrangements with freight forwarders and logistics providers. Track ocean freight shipments, container arrivals, and estimated delivery dates. Arrange transportation of imported goods from ports to designated warehouses. Obtain and compare freight quotations to identify cost-effective shipping solutions. Coordinate warehouse delivery appointments and unloading schedules. Monitor inbound shipments and assist in resolving shipping delays, damaged goods, and delivery discrepancies. Coordinate local deliveries to customers, including US Foods and Sysco locations in Houston. Identify opportunities to improve transportation efficiency and reduce logistics costs. Inventory & Order Management Communicate with warehouse personnel to monitor inventory levels and product availability. Coordinate warehouse receiving, order picking, packing, and outbound shipments. Receive, review, and process customer purchase orders, including orders from US Foods and Sysco. Verify order quantities, pricing, and delivery requirements. Coordinate with warehouse and logistics teams to ensure accurate and timely order fulfillment. Assist with inventory reconciliation and resolving stock discrepancies. Accounts Receivable & Administrative Support Prepare and issue customer invoices accurately and on time. Monitor outstanding customer balances and payment due dates. Follow up with customers regarding overdue invoices and payment collections. Maintain accurate customer payment records and supporting documentation. Assist with billing discrepancies and accounts receivable reconciliation. Prepare reports related to purchasing, shipment status, inventory, and outstanding receivables. Maintain organized purchasing, logistics, and financial records. Customer & Business Support Support new customer development and outreach to potential brand partners. Assist with supplier sourcing, quotation requests, and product price comparisons. Support product sample arrangements, recommendations, and customer solutions. Follow up on customer feedback regarding samples and products and assist in coordinating necessary adjustments. Communicate with sales, warehouse, accounting, and other departments to support daily operations. Assist with operational improvements and other related duties as assigned.
