POSTION SUMMARY: The Purchasing Manager is responsible for identifying, negotiating, and securing the best sources for materials, equipment, and supplies. This role will maintain vendor relationships and collaborate with managers/supervisors to streamline operations and ensure cost-effective purchases from requisition to receipt. The Purchasing Manager will oversee the inventory control process including inventory adjustments, material transfers, and cycle counts to ensure compliance with company policies, procedures, and regulatory requirements. JOB RESPONSIBILITIES: Establish, implement, and update purchasing policies, utilizing best practice and monitors compliance with such. Train and manage all aspects of the inventory control clerk’s role. Place orders for clinical supplies, equipment, and other related items to maintain inventory and prevent interruptions in service delivery. Place orders for non-clinical supplies utilizing the purchasing request system. Monitor and update the on-line purchasing log to keep staff notified as to the status of the purchasing requests. Review all purchase requests for completeness, authorization, and compliance with organizational policies and procedures. Act as immunization coordinator for the state of Wisconsin Vaccine for Children Program (VFC) including completion of state required training, certification, and yearly re-certification. Act as immunization coordinator for clients not covered under the VFC program. Perform cost analysis for non-VFC immunization pricing twice yearly and provide report to the finance and coding departments. Manage assigned vendors and supplier contracts based on price, quality, support and reliability. Review assigned vendors list and provide purchasing reports to the Facilities and Purchasing Director as needed. Analyze supply demand trends and maintain par levels accordingly. Continuously improve the purchasing process, keeping with changing organizational needs and best practice, including recommendations for efficient and timely acquisition of supplies. Oversee the purchasing budget and track expenses to ensure adherence to financial targets. Collaborate with Accounts Payable to verify invoices against purchase orders. Manage time keeping for all Purchasing and Facility personnel, keep direct aware of vacation requests. QUALIFICATIONS: Must possess a bachelor’s degree or equivalent. Required to have a minimum of two years’ purchase order, processing inventory/supply management experience. Must possess a valid Wisconsin driver’s license, provide proof of insurance, and have reliable transportation. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint. Must have excellent organizational, written and oral communication skills. Prior experience having direct reports preferred. Strong analytical and problem-solving skills. Strong attention to detail is a must. Able to relate well to people from diverse ethnic and cultural backgrounds. Self-motivated, flexible, and capable of working independently while managing multiple priorities. XJ6
