Purchasing Administrator

Job Overview The Purchasing Administrator is responsible for supporting purchasing and inventory management, to ensure the timely availability of materials and supplies. This position coordinates ordering, assists with the receiving process, performs cycle counts, and maintains accurate inventory records. The ideal candidate is organized, detail-oriented, computer proficient, and forklift certified. Essential Duties and Responsibilities Purchasing & Air Ordering Coordinate and process standard orders to ensure timely delivery of materials and products. Review purchasing requirements and coordinate with suppliers to meet operational needs. Track purchase orders, delivery schedules, and order confirmations. Communicate with vendors and internal departments regarding order status, shortages, and delays. Maintain accurate purchasing records and documentation. Assist with resolving purchasing discrepancies and supplier issues. Perform other activities as assigned. Inventory Management & Cycle Counts Perform scheduled and unscheduled cycle counts to maintain inventory accuracy. Investigate inventory discrepancies and assist with corrective actions. Maintain accurate inventory records within the company’s computer system. Assist with inventory reconciliation and stock level monitoring. Ensure materials are properly identified, stored, and organized. Support inventory audits and continuous improvement initiatives. Forklift & Warehouse Operations Operate forklifts and other material-handling equipment safely and efficiently. Maintain current forklift certification in accordance with company safety requirements. Load, unload, transport, and organize materials within warehouse and production areas. Follow all applicable safety procedures, including proper material handling and equipment inspections. Maintain a clean, organized, and safe work environment. Computer & Administrative Skills Utilize ERP, inventory management, purchasing, and Microsoft Office systems. Enter purchase orders, receiving transactions, inventory adjustments, and related data accurately. Maintain electronic and physical records as required. Prepare reports and assist with inventory and purchasing documentation. Demonstrate proficiency in Microsoft Excel, Outlook, and other relevant computer applications. Communicate effectively with internal departments, suppliers, and warehouse personnel. Qualifications Required Qualifications Previous experience in purchasing, inventory control, receiving, warehouse operations, or a related manufacturing environment. Forklift certification or the ability to obtain certification in accordance with company requirements. Strong computer skills, including experience with Microsoft Office applications. Strong attention to detail and organizational skills. Ability to perform accurate inventory counts and maintain records. Ability to communicate effectively with internal teams and external vendors. Ability to work independently and collaboratively in a fast-paced environment. Ability to safely lift and move materials as required by the position. Preferred Qualifications Experience using ERP, MRP, or inventory management systems. Previous experience with cycle counting and inventory reconciliation. Experience in a manufacturing or distribution environment. Knowledge of purchasing, receiving, and warehouse processes.
