Position Summary The Trade Show Project Manager independently plans, manages, coordinates, and executes custom trade show exhibit projects from project kickoff through post-show closeout. Serving as the primary point of contact for assigned clients, this role is responsible for managing project scope, schedules, budgets, logistics, vendor coordination, and show-site execution to ensure projects are delivered on time, within budget, and in accordance with Company quality and safety standards. The Project Manager collaborates with Sales, Design, Engineering, Graphics, Operations, Logistics, Procurement, and external partners to deliver exceptional customer experiences, support project profitability, and build long-term client relationships. Essential Duties and Responsibilities Serve as the primary point of contact for assigned clients throughout the project lifecycle, ensuring exceptional customer service, effective communication, and successful project delivery. Independently plan, manage, coordinate, and execute multiple custom trade show exhibit projects from project kickoff through post-show closeout. Develop and manage project schedules, budgets, timelines, critical milestones, and project documentation to ensure projects are completed on time, within budget, and in accordance with Company quality standards. Coordinate exhibitor service forms, permits, labor, vendors, freight, transportation, material handling, and other project logistics to support successful show-site execution. Oversee installation and dismantle activities by coordinating internal teams, contractors, union and non-union labor, vendors, and other project partners while resolving onsite issues and maintaining project continuity. Interpret project specifications, CAD drawings, floor plans, and customer requirements to ensure compliance with venue regulations, safety requirements, and Company standards. Collaborate with Sales, Design, Engineering, Graphics, Operations, Warehouse, Logistics, Procurement, and other cross-functional teams to ensure operational alignment and successful project execution. Build and maintain strong client relationships by proactively communicating project status, managing expectations, resolving issues, and identifying opportunities to enhance customer satisfaction and support long-term business growth. Monitor project performance, budgets, schedules, risks, and operational metrics while identifying issues, implementing solutions, and escalating concerns as appropriate. Maintain accurate project records, contracts, change orders, financial documentation, and updates within the Company's Customer Relationship Management (CRM) system and project management software. Promote compliance with Company policies, client requirements, venue regulations, safety procedures, and industry best practices while supporting a safe and productive work environment. Support continuous improvement by evaluating project outcomes, identifying operational efficiencies, and recommending process improvements that enhance quality, productivity, and customer satisfaction. Perform other job-related duties as assigned that are consistent with the scope, responsibilities, and level of this position. Qualifications / Education Bachelor's degree in Business Administration, Project Management, Event Management, Marketing, Construction Management, Communications, Engineering, or a related field preferred. Equivalent combinations of education, training, and directly related experience may be considered. Required Experience Minimum of three (3) years of client-facing project management experience, including customer relationship management, customer service, and/or sales support. Minimum of three (3) years of trade show, event, or exhibit show-site management experience, including installation, dismantle, and onsite operations.
