Project Coordinator
ConfidentialGridEx is seeking a Project Coordinator to join our team. The ideal candidate will have five or more years of experience on industrial project management teams, supporting the successful delivery of major capital projects. You will work as a manufacturer's representative within our British Columbia and Saskatchewan teams alongside client project and construction managers, coordinators, engineers, and field crews on mission-critical data center projects for the implementation of natural gas generation assets. You will be the connective tissue across engineering, procurement, subcontractors, and the field — keeping scope, schedule, cost, and documentation aligned from specification through commissioning and turnover. 1 · Your Responsibilities Technical, Compliance & Field Support ● Route technical queries between the client, engineers, and vendors, ensuring answers are documented and reflected in the drawings. ● Support permitting and environmental requirements — air permits, emissions compliance, noise, and fuel-gas supply and interconnection agreements. ● Keep QA/QC documentation moving: inspection reports, test records, material certifications, and punch lists. ● Help coordinate pre-commissioning and commissioning tasks — mechanical completion, load bank testing, performance runs — and assemble the turnover package for handover. Scheduling & Progress Control ● Maintain the project schedule and milestones; track progress against baseline and identify slippage before it becomes a delay. ● Follow up on scheduling variances and adjust production plans accordingly to keep delays from occurring. ● Coordinate sequencing across engineering, procurement, and field activities so that site readiness and equipment deliveries, installation and commissioning stay aligned. Subcontractor & Vendor Management ● Oversee onsite subcontractors, ensuring strict adherence to contract scope, schedules, quality standards, and safety requirements. ● Coordinate equipment suppliers and track long-lead items — generator packages, switchgear, exhaust and emissions equipment, and controls — against required delivery dates. ● Chase vendor drawings, datasheets, and certifications needed for approvals and construction. Financial & Budget Control ● Manage project budgets and track project costs against baseline, flagging variances early. ● Assess, prepare, and submit change order and delay notices; maintain the change log through to closeout. ● Provide regular financial updates and cost-to-complete reporting to the Operations Manager. Reporting & Documentation ● Generate and submit comprehensive weekly and monthly progress reports to clients and owners. ● Issue and track change orders, delay notices, RFIs, and transmittals; maintain the document control system, including drawings, submittals, and revision history. ● Run the project meeting cadence — agendas, minutes, and action-item logs — and follow up until items close. 2 · Your Capabilities and CredentialsPersonal Attributes ● Results-driven and self-motivated, with the ability to understand and effectively navigate the complexities of multi-stakeholder client environments, coordinating teams, schedule, and quality. ● Highly collaborative, organized, and adaptable, capable of managing competing priorities in a dynamic, project-driven environment. ● Strong analytical and problem-solving abilities. ● Detail-oriented and resourceful — comfortable chasing people and paperwork until items close. ● Excellent written and verbal communication across all stakeholder levels.
