Working closely with Directors, Managers, Customers, Estimators, Operations, and Yard & Field Supervisors & Foremen, the Project Administrative Manager oversees all specific project administrative tasks. The ideal candidate is a motivated self-starter who may not know the answer to a question but will certainly find it and then use this learning for continued development in the role. Confident in their ability to problem solve and articulate solutions, the Project Administrative Manager seeks to understand how all the parts and pieces of a job come together successfully. Their attention to detail allows them to catch variances in advance of errors being made. They work well independently while easily moving into all-hands-on-deck mode when necessary. Responsibilities: As a Project Administrative Manager, your responsibilities will include, but are not limited to, the following: Oversee the Project Administrative Coordinator Team Serve as an effective communicator and team motivator to foster a collaborative work environment. Multitask and cross-train to seamlessly cover team tasks and ensure customer deadlines are met. Proactively assist in resolving customer concerns to maintain strong account relationships Maintain an understanding of all relevant collective agreements to ensure compliance Manage data entry for the weekly union payroll process, including preparing management reports and executing the final hand-off to the Union Payroll Specialist. Ensure timely and accurate project invoicing for labour, equipment rentals, and third-party services. Oversee the month-end billing process for labour and rental invoices to consistently meet Finance department month end deadlines. Facilitate monthly project Profit & Loss (P&L) meetings to accurately capture and report project revenues. Assist with the preparation and tracking of project invoices and monthly statements of values. Issue and manage third-party purchase orders to fulfill project-specific procurement requirements. Oversee data entry accuracy for specific customer portals such as myTrack and CSS. Partner closely with the Operations Managers to streamline workflows and maintain a smooth operational process flow. Troubleshoot and implement ERP system (Acumatica) enhancements to maximize operational efficiencies. Ensure administrative team members are fully equipped with all pertinent project details. Provide required project documentation to customers and track execution when necessary. Partner with the AR Specialist to investigate and resolve customer invoice discrepancies. Adhere strictly to all corporate Health & Safety Policies and Procedures while assisting with safety documentation. Execute other related duties as assigned to support evolving business needs.
