Job Summary Coordinates programmatic activities and events and operational logistics for the Office of Student Access & Success (SAS). Oversees the planning and execution of conferences, student programs, workshops, and other dept events. This includes, catering, vendor management, procurement coordination, and event-day production. Develops and implements strategic marketing and communications content that advances the FIU brand, promotes student engagement in Student Access & Success (SAS) program offerings, and highlights program achievements and impact. Coordinates programmatic activities, events, workshops, conferences, and special initiatives for the SAS department. Oversees the planning, execution and logistical logistics, and catering of special events, meetings, programs, and workshops, including, but not limited to, the Children's Holiday Celebration, opening and end-of-year receptions, and the McNair Scholars research conference. Coordinates event logistics, including venues, room setups, technology needs, catering, transportation, schedules, materials, signage, registration, and other operational requirements. Develops and maintains productive relationships with vendors, service providers, campus partners, and external organizations to support departmental programs and events. Coordinates vendor quotes, service requirements, timelines, deliverables, and event-related documentation to ensure services are provided accurately and on schedule. Develops and implements strategically-aligned marketing, communications content that promotes student engagement and participation in SAS program offerings and communicates programmatic Impact. Coordinates the department's social media presence across various platforms, working closely with the division's Senior Account Manager. Performs event-day logistics and production, including coordinating vendors, monitoring schedules, troubleshooting operational issues, supporting participants, and overseeing event setup and breakdown. Assists with the preparation of event-related purchasing documentation, including requisitions, change orders, reimbursements, purchase orders, and supporting documentation, in coordination with the Finance and Operations team. Serves as a university card user for departmental transactions. Adheres to university credit card policies and procedures. Handles cash and check transactions as needed. Assists with managing front desk and general administrative operations to ensure smooth and efficient service by greeting visitors and answering, screening, and routing incoming telephone calls accordingly, as needed. Minimum Qualifications Bachelor's degree and 1 year of experience ; OR 5 years of office or related experience; OR an equivalent combination of relevant education and/or experience. Desired Qualifications Experience with event planning and execution. Proficiency and/or familiarity with technology platforms and various communication, design, and survey tools.
