Job Specific Responsibilities & Duties:
The Production Planning Coordinator is responsible and accountable for but is not limited to the following:
• Lead the planning and end-to-end coordination of assigned customer projects from order acceptance through completion and delivery.
• Review customer purchase orders, drawings, specifications, quantities, colours, required dates, and other project requirements to ensure all information is complete and accurate.
• Enter and maintain purchase orders, customer account information, product information, project details, and other relevant records accurately within the ERP system.
• Review and confirm powder availability through the ERP system and determine whether the required colour is a standard stock colour, custom colour, or supplier-stock colour.
• Ensure assigned projects are properly reviewed, documented, and prepared before being released and scheduled.
• Coordinate project requirements acrossOperations, Quality Control, Purchasing, Shipping, Sales, Logistics, and other applicable departments.
• Provide customers with professional, timely, and accurate project-status updates, including scheduling, production progress, completion, and pickup or delivery information.
• Respond to and manage customer requests, inquiries, concerns, and escalations, ensuring appropriate follow-up and resolution.
• Liaise with Quality Control regarding the status of Non-Conformance Reports (NCRs), dispositions, and other quality-related issues that may affect project completion or delivery.
• Define project tasks and resource requirements to ensure successful completion of the project.
• Coordinate with Logistics and customers regarding the receipt of customer-supplied material, project scheduling, completion, and finished-product pickup or delivery.
• Monitor project progress and proactively identify risks, delays, or issues that may affect production. Escalate issues to the Director of Project and Planning as required.
• Ensure customer profiles, project records, quotes, and related information are accurately entered, maintained, and updated in the ERP system.
• Build and maintain effective working relationships with cross-functional teams, customers, suppliers, distributors, and other relevant stakeholders.
• Schedule only orders that have been confirmed as production-ready, with all required information, materials, drawings, specifications, and approvals in place.
• Monitor and adjust production schedules as required to address changes in priorities, material availability, production capacity, customer requirements, or unforeseen operational issues.
• Perform other duties and responsibilities as assigned.
Requirements & Qualifications:
• Post-Secondary Diploma or Degree in project management, Business Administration, Supply Chain Management, or a related field is considered an asset.
• Minimum of 2 years related experience.
• Proven experience with processes and procedures involved in developing and maintaining relationships with clients and vendors.
• Experience using ERP systems to manage production orders, material requirements, schedules, and planning data.
• High computer proficiency.
