We are launching our first U.S. Distribution Center in Dallas, TX, and building the founding team that will run it. The Role The Procurement & Office Coordinator is the operational backbone of the Dallas DC — the person who keeps vendors, contracts, inbound shipments, and the day-to-day office running smoothly. This is a true jack-of-all-trades role: one day you're negotiating a supplier contract, the next you're reconciling a shipment in the ERP system, and the next you're making sure the building itself has what it needs to function. You'll report directly to the General Manager and have real ownership over procurement decisions, with purchase order authority up to an approved limit. This role suits someone who is organized, resourceful, and comfortable wearing many hats in a lean, fast-moving greenfield environment — not someone looking for a narrowly scoped, single-function admin job. Key Responsibilities Procurement, Vendor & Contract Management Source, evaluate, and manage vendors and suppliers for facility, office, and operational needs Cut and approve purchase orders up to an established authority limit; route larger purchases for GM approval Negotiate pricing, terms, and service agreements; manage contract renewals and vendor performance Maintain a vendor and contract tracker, including insurance certificates, terms, and renewal dates Resolve invoice discrepancies and act as the primary point of contact for vendor issues ERP & Receiving Process inbound shipment receiving in the ERP system (Infor), including GRNs (Goods Receipt Note) and inventory updates Reconcile purchase orders against receipts and flag discrepancies (shortages, damage, mis-ships) Maintain accurate, up-to-date records in the ERP for procurement and inventory transactions Coordinate with HQ (India) on ERP configuration, sourcing, and inventory questions as needed General Office & Facility Services Own day-to-day office operations — supplies, equipment, mail, visitor coordination, and general upkeep Coordinate facility-related vendors: utilities, maintenance, janitorial, security, and IT/telecom setup Support onboarding logistics for new hires (workspace, equipment, access, paperwork) Assist the GM with administrative tasks, scheduling, and ad hoc projects as the DC scales Help maintain a safe, organized, and compliant office and warehouse-adjacent environment What You Bring 2+ years of experience in procurement, vendor management, office administration, or a related operations role Experience with an ERP or inventory management system (Infor experience a plus, not required) Strong negotiation, organizational, and vendor-relationship skills Comfortable managing multiple priorities in a fast-paced, startup-like environment with limited structure High attention to detail, especially around POs, contracts, and inventory records Proficiency with Microsoft Office/Excel; ability to learn new systems quickly A hands-on, no-task-too-small mindset — this role will evolve as the DC grows Why Join This is a ground-floor opportunity to help stand up Mansons' first U.S. distribution center.
