Located in the Arts District near Houston Heights, we are seeking a highly organized Procurement Manager who thrives in a fast-paced, creative environment. About the Role The Procurement Manager connects our creative vision with successful project execution, overseeing the procurement process from designer specification through final installation across residential and commercial projects. This role manages purchasing, vendor relationships, budgets, order tracking, and delivery logistics. The ideal candidate anticipates issues, protects project profitability, and ensures that every item meets the studio’s quality standards and project requirements. Key ResponsibilitiesStrategic Sourcing & Vendor Management Vendor relationships: Build and maintain relationships with manufacturers, showrooms, artisans, and tradespeople; negotiate trade pricing, payment terms, and delivery arrangements. Value engineering: Identify alternative products or materials that support the client’s budget and timeline while preserving design intent, subject to designer approval. Custom fabrication: Coordinate with drapery, upholstery, cabinetry, and other custom workrooms to ensure specifications, measurements, and required approvals are complete before production begins. Financial Management & Budgeting Estimating and proposals: Translate designer specifications into detailed, itemized budgets and client proposals, including product costs, freight, crating, warehousing, delivery, and installation. Purchase orders: Create, issue, and maintain accurate purchase orders for furniture, fixtures, and equipment (FF&E); track order confirmations and changes. Invoice and payment tracking: Reconcile vendor invoices against approved quotes and purchase orders, coordinate payment approvals, and verify that required client approvals and deposits are received before orders are placed. Cost control: Track procurement expenses, identify discrepancies, and ensure applicable freight, storage, delivery, and installation charges are accurately billed to clients. Logistics & Expediting Procurement scheduling: Develop and maintain procurement schedules aligned with construction milestones and installation dates, accounting for production lead times and shipping requirements. Order tracking: Review open orders weekly, confirm production and shipping status, and proactively communicate delays and proposed solutions. Freight and warehousing: Coordinate with freight providers, third-party receivers, and warehouses to ensure items are inspected, documented, stored, and delivered appropriately. Project coordination: Keep designers and relevant project team members informed of order status, outstanding decisions, and issues affecting budgets or schedules. Quality Control & Installation Submittal coordination: Review shop drawings, finish samples, and fabric strike-offs for consistency with specifications; obtain designer approval before authorizing production. Damage claims: Manage damage and deficiency claims, including documentation, vendor communication, repairs, replacements, and resolution tracking. Installation coordination: Coordinate on-site deliveries and direct movers in accordance with approved floor plans and designer direction. Project closeout: Track outstanding items and resolve procurement-related punch-list issues following installation. Required Qualifications High school diploma or equivalent. Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication skills. Ability to manage competing priorities and deadlines in a fast-paced environment.
