Plumbing Procurement Operations Specialist

Position Overview Eco Flow Plumbing is seeking an organized and detail-oriented Plumbing Procurement Operations Specialist to coordinate the purchasing and availability of plumbing materials, parts, tools, and equipment. This role supports daily service and project operations by processing purchase requests, obtaining supplier quotes, tracking orders, monitoring material availability, and coordinating deliveries with vendors and field personnel. The ideal candidate has strong administrative and organizational skills, communicates effectively with suppliers and internal teams, and can help ensure that technicians and project crews have the materials they need to complete their work on schedule. Key Responsibilities Purchasing & Procurement Coordination Process purchase requests for plumbing supplies, fixtures, fittings, piping, tools, and equipment. Request and compare supplier quotes based on pricing, availability, and delivery timelines. Prepare and submit purchase orders in accordance with company procedures. Verify order details, quantities, product specifications, and pricing before submission. Follow up on pending orders and purchasing requests. Supplier & Vendor Relations Communicate with plumbing supply houses, manufacturers, and other vendors regarding orders and product availability. Request updated pricing, product information, and estimated delivery dates. Resolve routine purchasing issues, including incorrect items, shortages, damaged materials, and delayed shipments. Maintain professional relationships with suppliers and keep vendor contact information current. Inventory & Material Coordination Monitor material availability and coordinate replenishment requests with warehouse or operations personnel. Track commonly used plumbing parts and supplies to help prevent shortages. Coordinate material transfers and deliveries to service locations or project sites. Maintain accurate records of inventory requests, received materials, and outstanding orders. Project & Field Operations Support Coordinate procurement needs with dispatchers, service managers, technicians, and project coordinators. Help ensure materials are ordered in time for scheduled plumbing repairs, installations, and construction projects. Track special-order fixtures, equipment, and project-specific materials. Communicate order delays or substitutions to the appropriate internal teams. Documentation & Reporting Maintain organized purchase orders, supplier quotes, invoices, and delivery records. Compare supplier invoices against purchase orders and receiving documentation. Report purchasing discrepancies and unresolved order issues to management. Prepare basic reports on purchasing activity, open orders, and material availability. Recommend improvements to procurement tracking and ordering procedures. Qualifications Required Previous experience in purchasing, procurement, operations administration, inventory coordination, or a related role. Strong attention to detail and ability to maintain accurate records. Comfortable using spreadsheets, email, and purchasing or inventory systems. Good written and verbal communication skills. Ability to coordinate multiple orders and meet deadlines. Strong organization and follow-through. Preferred Experience with a plumbing contractor, mechanical contractor, construction company, or plumbing supply distributor. Familiarity with plumbing materials, fixtures, fittings, piping, and common trade supplies. Experience preparing purchase orders and communicating with vendors. Knowledge of inventory tracking and invoice matching procedures.
