Pizza Stockroom Supervisor

Job Summary The Pizza Box NY is seeking an organized and detail-oriented Pizza Sourcing Administrator to provide administrative support for ingredient sourcing, supplier coordination, and purchasing activities. The successful candidate will maintain supplier records, organize sourcing documentation, track product information, request quotations, and assist with identifying reliable sources for pizza ingredients and restaurant supplies. This role requires strong administrative, communication, research, and organizational skills. Key Responsibilities Provide administrative support for pizza ingredient sourcing and procurement activities. Maintain accurate supplier contact lists, product catalogs, and sourcing databases. Research potential suppliers for flour, mozzarella, tomatoes, sauces, meats, vegetables, and other pizza ingredients. Request supplier quotations and organize pricing information for management review. Collect and maintain product specifications, availability details, and supplier documentation. Track supplier communications, quotation deadlines, and follow-up requirements. Assist with comparing vendor pricing, product quality, and delivery options. Update sourcing spreadsheets and procurement records. Coordinate with purchasing staff and kitchen managers regarding ingredient requirements. Monitor supplier information for changes in pricing, product availability, or delivery schedules. Organize purchase-related documents, invoices, and supporting records. Assist with identifying alternative suppliers when products are unavailable. Prepare routine sourcing summaries and administrative reports. Follow up on pending supplier inquiries and outstanding documentation. Maintain confidentiality of supplier agreements and business information. Qualifications and Requirements High school diploma or equivalent required; additional education in business administration, purchasing, or supply chain management is preferred. Previous experience in administrative support, procurement, sourcing, or inventory coordination is an advantage. Strong organizational and recordkeeping abilities. Proficiency in Microsoft Office, particularly Excel and Word, or comparable software. Good written and verbal communication skills. Ability to research suppliers and organize product information. Strong attention to detail and data-entry accuracy. Ability to manage multiple tasks and meet deadlines. Professional approach to supplier communication. Ability to work independently and collaboratively with restaurant teams. Preferred Skills Experience supporting sourcing or purchasing activities in a pizzeria or restaurant. Familiarity with pizza ingredients and food service supply requirements. Knowledge of supplier databases, quotation tracking, and procurement documentation. Ability to organize and compare vendor pricing information. Experience maintaining spreadsheets and administrative reports. Strong follow-up, coordination, and problem-solving skills. Understanding of basic inventory and purchasing procedures. Work Environment Restaurant administrative and procurement support environment. Regular communication with suppliers, purchasing personnel, kitchen staff, and management. Frequent use of computers, email, spreadsheets, and supplier databases. May involve occasional coordination with receiving and inventory teams. Requires accuracy, organization, and effective time management.
