Parts Manager and Service Advisor

Job Overview We are seeking a detail-oriented and organized Parts Manager and Service Advisor to join our HVAC team. This role involves managing parts procurement, building estimates, quoting customers, handling warranty claims, and providing exceptional customer service. The ideal candidate will have a background in HVAC or HVAC parts ordering, strong communication skills, and proficiency in typing, Excel, and Service Titan software. Experience in HVAC parts management is a plus. This is a paid position committed to delivering high-quality service and efficient parts management to support our operations. Responsibilities Coordinate with vendors to order HVAC parts, ensuring timely delivery and availability for service needs Build accurate estimates for customers based on service requirements and parts needed Quote prices to customers and explain the scope of work clearly and professionally Handle warranty claims efficiently, ensuring proper documentation and follow-up Utilize Service Titan or similar software to manage work orders, inventory, and customer information (experience with Service Titan is a plus) Maintain organized records of parts inventory, orders, and warranty claims Communicate effectively with technicians, vendors, and customers to ensure smooth workflow Assist in managing parts stock levels and reordering supplies as necessary Provide excellent customer service by addressing inquiries promptly and professionally Qualifications Prior experience in HVAC or HVAC parts ordering is highly desirable Strong typing skills with the ability to accurately input data quickly Excellent communication skills for interacting with vendors, customers, and team members Proficiency in Excel for data management and reporting purposes Familiarity with Service Titan software or similar management systems is a plus Ability to build estimates, handle warranty processes, and manage parts inventory effectively Strong organizational skills with attention to detail Ability to work independently and as part of a team in a fast-paced environment This position offers an opportunity to contribute to a dynamic HVAC team while developing your skills in parts management and customer service.
