About the Role We are looking for an Order Processing & Scheduling Coordinator to help keep customer orders moving smoothly from release through production and shipment. This role serves as a central point of coordination between Customer Service, Inventory, Production, Purchasing, Quality, Shipping, and other departments. You'll monitor order progress, maintain accurate information in Agility ERP, communicate schedule changes and issues, and help ensure orders are completed on time. Accuracy, attention to detail, and integrity are critical. You’ll be trusted to review shop orders and make system adjustments that affect shipping, delivery dates, invoicing, back orders, purchasing, and customer notifications. You’ll need to make sound decisions and maintain accuracy when working under time-sensitive deadlines. Key Responsibilities Serve as the primary point person for all orders after release to production. Review shop orders and make accurate adjustments in the system as production information changes. Monitor orders throughout the manufacturing process to ensure timely progression through finishing, assembly, and shipping. Identify production issues that could impact completion dates, quality standards, or customer expectations. Resolve order-related issues when possible or facilitate communication with the appropriate department to ensure timely resolution. Ensure adjustments are complete and accurate, recognizing that changes made in the system can directly affect shipping, delivery dates, invoicing, back orders, purchasing, and customer notifications. Act as the central coordinator between Inventory, Customer Service, Production, Purchasing, Quality, Shipping, and other stakeholders. Ensure all departments have accurate and up-to-date information regarding order status and priorities. ERP & Record Management Maintain accurate production records and order status updates within Agility ERP. Update production milestones, schedule changes, holds, shortages, and completion statuses in a timely manner. Ensure data integrity by regularly reviewing production records for accuracy and completeness. Track and document order delays, schedule changes, and issue resolutions. Communication & Problem Resolution Serve as the primary communication link between office and production personnel regarding order status and production concerns. Facilitate resolution of material shortages, specification questions, production discrepancies, and scheduling conflicts. Escalate critical issues to management when necessary. Maintain professional and effective working relationships with internal stakeholders. Support continuous improvement efforts related to scheduling, production flow, and information accuracy. Finishing Production Scheduling - Backup Support Develop, maintain, and adjust the daily and weekly production schedule for the Finishing Department. Monitor production capacity, workload, and schedule adherence to support on-time completion of customer orders. Prioritize orders based on customer requirements, production demands, and operational constraints. Coordinate schedule changes in response to material shortages, quality concerns, equipment issues, or changing business priorities. Communicate schedule updates and production priorities to supervisors and department personnel.
