Order Processing and Accounting Specialist

Job Overview: We are seeking an organized , detail-oriented Order Processing and Accounting Specialist to manage incoming dealer orders and handle basic accounting tasks. This role ensures that order requirements are met and accounting records stay accurate. Reports to: Controller RESPONSIBILITIES include, but are not limited to: Order Management o Receive and review dealer machine orders o Confirm details with dealer o Verify price and inventory stock o Prepare and send order acknowledgment Order Fulfillment o Create and place purchase orders to vendors o Manage inventory quantity o Prepare work orders and pick tickets o Track in transit inventory Shipping & Logistics o Select transport carrier and generate quotes o Prepare release document o Confirm pick up and delivery Dealer invoice o Generate deposit and final invoices o Send invoice to dealer Accounts receivable o Track AR balances o Flag errors or late payments Payment collection o Record cash collections o Resolve billing disputes – over payment or underpayment o Send reminder or request for payment emails/calls Reporting & Reconciliation o Record and track dealer data and sales quotas o Analyze timeliness of vendor shipments o Maintain internal documents for management reporting QUALIFICATIONS: · Intermediate skills in Microsoft Office (Excel, Outlook) · Sage100 and accounting experience a plus · Ability to prioritize and multitask · Strong organizational skills · Strong attention to detail and accuracy · Excellent written and verbal communication skills Job Type: Full-time Benefits: 401(k) 401(k) matching Dental insurance Health insurance Paid time off Schedule: Monday to Friday 8am-5pm with one hour lunch break Supplemental Pay: Bonus opportunities Ability to commute/relocate: Pewaukee, WI 53072: Reliably commute or planning to relocate before starting work (Required) Experience: 1-3 years of order processing or similar Work Location: In person Pay: $65,000.00 - $75,000.00 per year Benefits: 401(k) 401(k) matching Dental insurance Health insurance Paid time off Work Location: In person
