GENERAL DESCRIPTION:
St. Mary’s Catholic Center seeks a highly motivated person who enjoys working with people, is mission-driven, and possesses the skills, education, and experience necessary to support the ministry through operations work. The Operations Coordinator reports directly to the Executive Director of Operations.
ORGANIZATION OVERVIEW:
St. Mary’s Catholic Center at Texas A&M University has the mission of forming apostles for the Church and the world. We are a ministry of the New Evangelization that believes in exercising dynamic orthodoxy, faithful to the Church’s instruction, engaging, and fervent, in a manner that reaches the hearts of the faithful and the unchurched. The Operations Coordinator is part of the Operations Team at St. Mary’s Catholic Center. An important value of our parish staff is reliance on prayer, thus we enjoy the opportunity to begin each day of work in prayer before the Blessed Sacrament.
MAJOR RESPONSIBILITIES AND DUTIES:
The Operations Coordinator supports the team with a friendly demeanor, strong supervisory skills, and administrative abilities. As a member of the Operations Team, the Operations Coordinator will collaborate to address the needs of the Center, working in a spirit of teamwork and shared vision.
Specific duties include but are not limited to:
- Stewardship of sacramental records.
- Scheduling and maintenance of church calendars.
- Maintenance of records and permanent documents.
- Hiring, management, and scheduling of student receptionists.
- Clerical assistance to the staff.
- Assist in scheduling and preparation of paperwork for infant/child baptisms.
- Oversee front desk operations, including answering phone calls, assisting visitors, scheduling Mass intentions, and resolving administrative issues.
- Supervision, maintenance, and inventory of sold merchandise, including generating reports for deposits.
- Order and maintain office supplies and equipment.
- Assist in the oversight of silent workers and be present as needed for parish-wide and funeral receptions.
- Maintain and organize the reception area and front office.
- Performing other duties as assigned.
QUALIFICATIONS
- A "people person" with motivational leadership skills and the ability to lead a team of student receptionists.
- Must be well-organized, detail-oriented, and possess effective internal and external communication skills.
- The candidate must have flexibility and availability to be present on some nights and weekends.
- A professional demeanor, including the ability to set appropriate personal boundaries and maintain confidentiality.
- A strong sense of personal integrity—keeping commitments, dealing honestly and respectfully with others, and a commitment to personal growth and spiritual development.
- The candidate should be proficient with technology.
- Demonstrates a positive attitude and is a team player.
- Preference will be given to candidates who are practicing Catholics.
- Candidates must be able to support the mission of St. Mary’s Catholic Center and its role as a Catholic institution.
EDUCATION
- High School Diploma or GED
- Preferred Bachelor's degree from an accredited college or university or certificate.
EXPERIENCE
- Working within the Catholic Community.
LICENSES/CERTIFICATIONS
- Valid driver's license.
- Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies through the employment period.
SALARY
Commensurate based on experience
COMPENSATION
The Operations Coordinator is a full time, benefits eligible position.
JOB CONDITION AND PHYSICAL DEMANDS
- Work is performed in an open office setting with daily and weekly deadlines. The candidate may occasionally need to be present on evenings and weekends.
- While performing the duties of this job, the Operations Coordinator is required to stand, walk, talk, reach, sit, and perform repetitive motions with hands/wrists.
- The ability to lift and move items up to twenty pounds is occasionally required
OTHER
- All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church
- The Parish is an at-will employer
- Will be required to adhere to established dress codes and conduct standards
- As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of St. Mary's Catholic Center in both your professional and personal life
- Act as a witness to Gospel values by modeling the teachings of the Catholic Church
- Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed
- The Executive Director of Operations will evaluate the Operations Coordinator in writing at least annually.
