Description

Under supervision of the Fleet Assistant Buyer, the Fleet Warehouse Assistant is responsible for maintaining a safe and efficient warehouse operation, ensuring accurate inventory management, and providing logistical support to the Public Works Fleet and Operations teams.


 

Principal Duties

  1. Perform a variety of general warehouse support duties including but not limited to data entry, maintaining inventory records and files, parts acquisition and management, and assisting with and securing proposals, purchases, and paperwork as necessary.
  2. Perform warehousing inventory-related functions to include securing and maintaining parts inventory, performing routine inventory audits, receiving and issuing parts, tracking inventory, completing required documentation, and maintaining compliance for hazardous waste and materials, including fuel as required by law 
  3. Manage inventory control – including assisting with cycle counting activities and assisting with reconciliation duties, maintaining and supporting audit policy and procedures for Fleet Services Warehouse, and assisting Fleet Services staff, parts warehouse staff, and city employees as necessary.
  4. Receive inspect and sign for warehouse parts and supplies deliveries, verify for accuracy, and document and resolve discrepancies between supplier orders, invoices and purchasing terms.
  5. Enter work order data updates to appropriate fleet assets in the fleet management software; and maintain and monitor fleet management software notes, associated documentation pertaining to parts inventory, outside repair body and maintenance shop repairs, part numbers, and parts warranty.
  6. Manage purchase orders and contracts related to fleet parts and repairs to include coordinating annual contracts and purchase orders with the Purchasing department.
  7. Coordinate with Risk Management, departmental Fleet coordinators, and contracted body shop vendors on scheduling repairs, obtaining estimates and invoices for fleet asset claims.
  8. Provide in-house training to parts staff on policies and procedures pertaining to parts orders, inventory, deliveries, and purchase acquisitions.
  9. Perform other related duties as assigned, to include but not limited to assisting with parts deliveries as required.

Qualifications

Required:         

High School Diploma or GED equivalent 

Texas Driver’s License

Basic computer skills and ability to learn and be proficient with the required software programs utilized in inventory management and control

Strong customer service, communication, and organizational skills 

Knowledge of automotive and equipment parts

Ability to work in a fast-paced environment

Ability to establish and maintain cooperative working relationships with those contacted in the course of work

Preferred:         

Knowledge of accounting and inventory management
