Office Operations Coordinator – Scheduling & Purchasing
SilverLine Exterior SolutionsAbout the Role Silverline Exterior Solutions manufactures and installs vinyl windows, doors, and siding. We are looking for an organized, dependable Office Operations Coordinator to help keep our installation schedules, material orders, and daily office operations running smoothly. You will coordinate with customers, suppliers, installers, and our internal team to ensure information is accurate, materials are ready, and jobs move forward as planned. This role suits someone who enjoys planning, follows through on details, and can work independently while keeping others informed. What You Will Do Installation Scheduling Schedule installations, services and deliveries. Coordinate dates with customers and installation crews. Confirm material availability and job readiness before booking work. Adjust schedules when delivery dates, site conditions, or project requirements change. Communicate changes promptly and follow up on outstanding items. Occasionally check and respond to messages outside regular office hours when urgent scheduling changes require attention. Purchasing and Order Coordination Prepare and check worksheet, window specifications and labels for production. Prepare purchase orders based on approved job requirements. Check order details, quantities, pricing, and delivery dates for accuracy. Follow up with suppliers on confirmations, lead times, shortages, and incorrect or damaged items. Maintain accurate purchasing records and flag discrepancies for resolution. Office and Project Administration Keep job files, order records, and the CRM current and organized. Prepare job information and documents needed by installation crews. Respond to customer questions about scheduling and order progress. Coordinate with sales and other office staff to ensure a smooth handover from approved order to installation. Help improve office procedures, checklists, and follow-up processes. What We Are Looking For Experience in office administration, scheduling, purchasing, or project coordination. Strong organizational skills and the ability to manage several active jobs at once. Strong attention to detail when checking orders and maintaining records. Clear, professional communication with customers, suppliers, and coworkers. The ability to take ownership of tasks, follow up consistently, and ask questions when information is incomplete. Proficiency with Microsoft Excel, Word, and AI tools. Ability to speak Mandarin is an asset. · Experience in construction, renovations, windows, doors, or siding is a strong asset. Experience reading measurements, product specifications, or drawings is also helpful. What We Offer Annual salary of $58,000–$62,000, based on relevant experience. $600 annual cell phone reimbursement. Annual profit-sharing bonus.
