Job Overview We are seeking a highly organized and proactive Office Manager to oversee daily operations within our dynamic office environment. The ideal candidate will possess extensive bookkeeping and payroll knowledge, strong leadership skills, exceptional communication abilities, and extensive experience in office administration. This role involves managing administrative functions, supervising staff, coordinating vendor relationships, and ensuring the smooth running of office activities. Experience in event planning, human resources, and legal office management is a plus. The Office Manager will play a key role in maintaining an efficient workspace while fostering a positive and productive team culture. Responsibilities Oversee daily office operations Supervise administrative staff and coordinate training & development initiatives Manage calendar scheduling, appointment setting, and calendar management Handle vendor management, including negotiating contracts and maintaining professional relationships Extensive bookkeeping, A/P, A/R, bank reconciliation, payroll processing, quarterly reports, budgeting, and financial recordkeeping using Sage 50 or similar software Coordinate event planning for company meetings, training sessions, and special events Maintain filing systems and ensure proper documentation for legal offices Ensure effective communication across departments through phone etiquette and clear organizational practices Manage human resources functions such as onboarding new employees and maintaining personnel records Assist with office supply procurement and inventory management Skills Proven experience in office management, administrative support, or clerical roles with strong organizational skills Legal billing experience preferred Supervising experience with team management capabilities Proficiency in Sage50, bookkeeping, payroll processing, and budgeting software tools Excellent communication skills including phone etiquette and interpersonal interactions Strong event planning abilities and experience managing vendor relationships Knowledge of human resources procedures and legal office management (preferred) Ability to handle schedule management efficiently and prioritize tasks effectively Experience with multi-line phone system Competence in filing systems, calendar management, and general office procedures Demonstrated leadership skills with a focus on training & development initiatives This position offers an opportunity to lead a professional team while contributing to the overall success of our organization.
