Overview We are seeking an organized Office Manager to assist with the daily operations of our retirement home. This role is essential in ensuring smooth administrative functions, maintaining efficient workflows, and fostering a welcoming atmosphere for staff, clients, and visitors alike. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to keep our office running seamlessly. Duties Oversee daily office operations, including front desk management and multi-line phone systems to ensure prompt and courteous communication. Manage scheduling, appointments, and calendar coordination for staff and residents Be familiar with payroll, billing and bookkeeping functions. Handle clerical tasks such as copying, scanning, mailing, and organizing files—both physical and digital using tools like Google Workspace and Microsoft Office. Provide exceptional customer service by assisting visitors, answering inquiries, and supporting client interactions with professionalism. Assist with onboarding new employees or interns by preparing necessary documentation and orienting them to office procedures. Maintain a clean, organized front desk area while demonstrating excellent phone etiquette when managing inquiries via multi-line phone systems. Coordinate office supplies procurement and inventory management to ensure all departments are well-equipped for daily tasks. Experience Proven experience in an administrative or office management role with a strong background in clerical duties and customer service. Familiarity with accounting software, Microsoft Office Suite (Word, Excel, PowerPoint), and Google Workspace applications. Prior experience working in medical or dental offices is highly desirable, including familiarity with front desk operations and patient data management. Demonstrated ability to handle multi-line phone systems efficiently while maintaining professional phone etiquette. Strong organizational skills with attention to detail in data entry, proofreading documents, and managing filing systems. Experience with bookkeeping tasks such as invoicing, expense tracking, and financial record keeping is preferred. Excellent communication skills—both verbal and written—and the ability to support a diverse range of office functions effectively.
