NPL AdvisorsOverview We are seeking a highly organized and detail-oriented Office Assistant to join our dynamic team. The ideal candidate will provide administrative support to our office and play a key role in ensuring the smooth operation of our daily activities. Responsibilities - Provide exceptional front desk services, including answering and directing phone calls, greeting visitors, and responding to inquiries in a professional manner. - Assist with office management, including maintaining organized files and records, and ensuring all documents are up-to-date and easily accessible. - Transcribe documents, minutes, and other materials as needed. - Use computerized systems to manage orders and track inventory levels. - Coordinate projects and tasks, ensuring timely completion and effective communication with team members and stakeholders. - Utilize proofreading skills to review and edit documents, reports, and presentations for accuracy and clarity. - Manage time efficiently to meet deadlines and handle multiple tasks simultaneously. - Perform administrative duties, including preparing correspondence, reports, and presentations. - Maintain a clean and organized office environment, including the reception area and storage rooms. - Communicate effectively with colleagues and clients, both verbally and in writing. - Be proficient in Spanish, with the ability to interact with Spanish-speaking clients and colleagues. Skills - Proficiency in computerized systems, including Microsoft Office and Google Suite. - Excellent time management and organizational skills. - Strong communication and interpersonal skills. - Ability to work independently and as part of a team. - Experience with order entry and inventory management. - Bilingual in Spanish and English, with the ability to communicate effectively in both languages. - Strong proofreading and editing skills. - Ability to transcribe documents and minutes accurately and efficiently. - Experience with office management and coordination of projects and tasks.
