We provide storage, pick/pack/ship, and inventory management services to a growing base of business clients. We pride ourselves on accuracy, reliability, and strong client relationships. Position Summary We are seeking a dependable and organized Office Administrator to support our warehouse and fulfillment operations. This role is central to our client billing process — you will be responsible for preparing weekly billing reports for all clients, which are used by senior leadership to generate and send invoices. The ideal candidate is highly organized, detail-oriented, comfortable working with numbers and spreadsheets, and able to communicate professionally with clients and internal team members. This is a full-time, in-person position. Office presence is required Monday through Friday, 8:00 AM to 5:00 PM, with a one-hour unpaid lunch break. Reporting Structure This position reports jointly to the Warehouse Operations Manager and the CEO. The CEO has primary responsibility for setting client rates, generating invoices, and tracking company financials. You will work closely with both to ensure accurate, timely billing data and smooth office operations. Key Responsibilities Billing & Reporting (Primary Focus) Prepare weekly billing reports for all clients by compiling data from warehouse activity, shipping records, and order fulfillment systems. Ensure billing reports are accurate, complete, and delivered on schedule for review by the CEO and Warehouse Operations Manager. Verify charges against contracted rates, client agreements, and service activity (e.g., storage, handling, pick/pack, shipping). Flag discrepancies, missing data, or unusual activity to senior team members before invoices are issued. Maintain organized records of weekly reports and supporting documentation. Office & Administrative Support Process shipping and receiving documents, including labels, invoices, and packing slips. Track shipments and help resolve shipping or receiving issues. Maintain accurate inventory and shipment records. Support warehouse operations and order fulfillment as needed. Answer incoming phone calls and emails; provide general administrative support. Assist with filing, data entry, and document management. Perform other duties as assigned. Qualifications Associate degree or above preferred (or equivalent experience). 2+ year of office, shipping/receiving, logistics, or warehouse experience preferred. Computer proficiency required, with strong Microsoft Excel skills (basic formulas, sorting, organizing data). Experience with online fulfillment tools such as Shopify, ShipStation, USPS, PirateShip, or similar platforms preferred. Comfortable learning new software; the company is currently implementing a custom WMS. Strong organizational, communication, and multitasking skills. Detail-oriented with excellent customer service skills. Comfortable working with numbers and reconciling data across multiple sources. Experience in logistics, 3PL, or e-commerce fulfillment is a plus. What Success Looks Like Weekly billing reports are accurate, complete, and delivered on time every week. Senior leadership can rely on your reports to generate billing reports without chasing missing information. Clients' billing questions are handled promptly and professionally. Office and warehouse administrative tasks run smoothly with minimal oversight. Compensation & Benefits Compensation: $20–$24 per hour, based on experience and capabilities.
