Pilot Thomas LogisticsPosition Summary: The Logistics Freight Analyst is responsible for analyzing freight movement across both internal fleet and third-party carriers, benchmarking cost and efficiency against third-party rates, and verifying that vendor invoices are accurate and paid on time. This role holds and escalates invoices that vary from expected cost confirms every active carrier has a current hauling agreement on file, and tracks freight market conditions PTL's rate expectations and carrier decisions stay grounded in current market reality. Essential Responsibilities: 1. Freight Analysis (Internal & External) Analyze freight volumes, lanes, and costs across internal fleet and third-party carriers Benchmark internal fleet cost and efficiency against third-party carrier rates to inform routing and carrier-mix decisions Provide freight cost/performance data to support carrier negotiations and network decisions 2. Invoice Verification & Accuracy Verify third-party vendor invoices against contracted rates, hauling agreements, and rate exhibits Pull and reconcile freight data from the Freight Analysis website table, carrier emails, and FSC (fuel surcharge) tables Confirm accessorials, fuel surcharges, and other line items match agreed terms Identify and resolve discrepancies with vendors before payment 3. Invoice Approval & Variance Management Approve invoices that match expected rates and terms for timely payment Hold and escalate any invoice with a variance of $3,000 or more from expected cost for manager approval before release Maintain a clear audit trail on holds " what varied, why, and how it was resolved 4. Timely Payment & Vendor Accountability Ensure approved invoices move through to payment on schedule, avoiding late fees or vendor friction Track invoice aging and flag bottlenecks in the approval/payment cycle Serve as the point of contact for vendors on invoice disputes or payment status 5. Carrier Agreement Compliance Verify a current, countersigned hauling agreement is on file for every carrier PTL is doing business with Flag any carrier moving freight without an active agreement on hand Confirm invoiced rates align with the rates and terms in each carrier's hauling agreement and rate exhibits 6. Market & Rate Intelligence Monitor freight market conditions, fuel prices, and industry news that affect rates and capacity Flag market shifts that should inform rate negotiations or carrier strategy Maintain a working knowledge of the carrier landscape relevant to PTL's regions and segments 7. Metrics & Reporting Track invoice accuracy rates, variance frequency/dollar impact, and payment timeliness Report freight cost trends and vendor/carrier performance to Jay Bailey Feed variance and market data into broader reliability/cost reporting as needed Minimum Requirements: 2-4+ years in freight analysis, logistics accounting, or transportation cost management Experience auditing or processing carrier/vendor invoices against contracted rates Comfortable with rate exhibits, accessorials, and fuel surcharge (FSC) structures Strong Excel skills; comfortable reconciling data across systems and sources (Freight Analysis website table, carrier emails, FSC tables) Working knowledge of freight market dynamics (fuel costs, capacity cycles, seasonal trends) Detail-oriented, comfortable holding a payment when something doesn't match Education: High school diploma or GED required, bachelor's degree in supply chain strongly preferred
