Position Overview The Logistics Coordinator (40 hours per week), reporting to the Logistics Director, supports Book Fairies’ mission to increase access to books and literacy resources by overseeing the daily coordination of incoming in-kind donations and outgoing book distributions to support efficient warehouse and program operations. The ideal candidate is dependable, organized, comfortable working with special needs individuals, and comfortable working in a warehouse environment while supporting a mission-driven nonprofit. Key Responsibilities ● Coordinate the intake, receipt, and organization of incoming book donations from individuals, businesses, book drives, remote drop site locations, etc. ● Oversee the preparation, packing, and fulfillment of outgoing book orders for recipients in distribution programs. ● Maintain accurate inventory records and assist with inventory tracking and warehouse organization. ● Input and maintain accurate data in CRM for all in-kind donors and donations. ● Coordinate donation pickups and deliveries with staff, volunteers, and transportation partners. ● Communicate with donors and recipient organizations regarding donation drop-offs, order status, and logistics as needed. ● Assist with resolving all pick-up and delivery issues in a professional and timely manner. ● Assist in planning and executing book distributions, special events, and community outreach initiatives. ● Assist with all operations and communications of remote drop sites. ● Help maintain a clean, safe, and organized warehouse environment in accordance with safety procedures. ● Assist with the sorting and movement of donated books to support efficient warehouse operations. ● Collect and prepare logistics data and reports related to donations, inventory, and program distributions. ● Identify opportunities to improve operational efficiency and support continuous improvement of warehouse and distribution processes. ● Perform additional administrative and operational duties as assigned to support organizational growth and mission impact ● Represent Book Fairies in a professional and friendly manner when interacting with donors, volunteers, and community members Qualifications ● High school diploma or equivalent preferred ● Previous non-profit experience is a plus ● Knowledge of Salesforce NPSP or NPC platform preferred ● Previous warehouse and/or logistics experience a plus ● Strong attention to detail and organizational skills ● Ability to work independently and as part of a team ● Dependable with strong work ethic and punctuality ● Interest in supporting literacy and education initiatives is strongly preferred ● Must be able to successfully pass a criminal and DMV background check Physical Requirements ● Ability to sit, stand, walk, bend, and reach for extended periods of time ● Ability to lift at least 30 lbs without assistance Work Schedule ● Standard hours will include Monday through Friday 9:00 AM – 5:00 PM, some weekend and evening hours each week to facilitate pick-up and delivery changes ● Schedule may include occasional evenings or weekends, particularly when supporting Community Book Fairs and other events as required Compensation ● Hourly pay range: $23.00 - $25.00 per hour, depending on experience and qualifications ● This is a non-exempt position eligible for overtime in accordance with New York State and federal labor laws Equal Employment Opportunity Book Fairies is an equal opportunity employer and is committed to creating an inclusive workplace.
