Description

We are looking for a hands-on, detail-oriented Inventory & Logistics Coordinator to manage the flow of purchased materials through our facility. This is an execution-focused role for someone who takes pride in keeping things organized, stays ahead of schedules, and makes sure the right materials are in the right place at the right time. The right candidate will be adaptable, open to learning new systems, and excited to be part of building something from the ground up.

We are looking to hire an hands on, detailed oriented, effective communicator to fill a brand new role within our organization. Primary duties will be receiving all dock deliveries, inspecting for damages, identifying equipment with detail, communicating to the handoff contact and proper warehouse placement.  The Inventory & Logistics Coordinator will also be responsible for collaborating with other teams in making shipments, whether a single piece on a skid or a full truck load.  Understanding logistics, load needs, and special handling is a must.  Other support duties will include building maintenance coordination, inventory counts, purchasing, and even occasionally driving the company van.

In this role, you're the person who keeps things moving quietly and reliably behind the scenes. 
 


Essential Functions

Receiving & Storage

  • Receive all incoming packages, freight, and shipments for exhibit production
  • Verify deliveries against purchase orders and flag any discrepancies, shortages, or damage and manage return to vendor processes
  • Label incoming items by project and Purchase order
  • Assign and track accurate warehouse locations for inventory
  • Maintain a clean, organized, and accessible staging area at all times to ensure efficiency


Material Staging & Kitting

  • Monitor the production build schedule to anticipate what each engineer or team will need and when
  • Prepare materials in advance so project teams have what they need at the start of each work week
  • Communicate proactively with engineers and project leads when materials are received, delayed, or need attention
  • Track the location and status of materials throughout their lifecycle in the building


Pack-Out & General Warehouse Support

  • Assist shipping teams with wrapping, protecting, and palletizing finished exhibits for outbound freight
  • Ensure finished goods are properly secured and ready for carrier pickup 
  • Help maintain ongoing inventory of installation related materials & supplies 
  • Support cycle counts and physical inventory audits
  • Keep the warehouse clean, safe, and well-organized 


  • 2+ years of experience in a receiving, warehouse, or materials coordination role
  • Strong attention to detail — able to catch discrepancies before they become problems
  • Ability to read and work from purchase orders, packing slips, and production schedules
  • Comfortable with basic inventory tracking tools (spreadsheets, WMS, or similar)
  • Forklift or pallet jack experience (or willingness to get certified)
  • Reliable, proactive communicator — you don't wait to be asked, you reach out
  • Team-oriented and service-minded — you're here to help engineers and production succeed
  • Physically able to work in a warehouse environment including consistently lifting up to 50 lbs and walking up and down steps


Preferred

  • Experience in a custom manufacturing, fabrication, or exhibit/event production environment
  • Familiarity with warehouse management or inventory systems
  • Experience staging or kitting materials for a production or build schedule

 

 



Qualifications

  • 2+ years of experience in a receiving, warehouse, or materials coordination role
  • Strong attention to detail — able to catch discrepancies before they become problems
  • Ability to read and work from purchase orders, packing slips, and production schedules
  • Comfortable with basic inventory tracking tools (spreadsheets, WMS, or similar)
  • Forklift or pallet jack experience (or willingness to get certified)
  • Reliable, proactive communicator — you don't wait to be asked, you reach out
  • Team-oriented and service-minded — you're here to help engineers and production succeed
  • Physically able to lift up to 75 lbs consistently and work in a warehouse environment

Preferred

  • Experience in a custom manufacturing, fabrication, or exhibit/event production environment
  • Familiarity with warehouse management or inventory systems
