Inventory Controller/Receptionist, Permanent Full-Time

Hours of Work: Tuesday to Saturday, 9:00AM – 6:00PM with Thursday being 12:00PM – 9:00PM
The Inventory Controller/Receptionist is a key player who keeps things running smoothly behind the scenes! This role is perfect for someone who loves variety, thrives on staying organized, and enjoys being the go-to person for all things admin, data, and inventory. You’ll be juggling tasks like data entry, reporting, and customer service—all while keeping a smile on your face and a positive vibe in the workplace. Some words that describe you? What you’ll be doing:
- Be the friendly face of the office—answer phones, greet customers, and keep things running smoothly with scanning, faxing, and mail duties.
- Keep an eye on inventory levels and make sure everything is stocked and accounted for.
- Help bring in new units and keep track of what’s on the lot.
- Maintain the inventory matrix and ensure our website reflects what’s available (and what’s sold).
- Double-check that all vehicle-related costs are captured during refurbishments.
- Handle purchase orders like a pro—track them, follow up, and solve any hiccups.
- Keep our customer and office areas stocked with supplies (and coffee essentials!).
- Record purchases, update databases, and reconcile inventory counts with reports.
- Submit invoices to accounting and track vehicle purchase cheques.
- Run lien searches when requested by the General Manager or others.
- Support the team with various administrative tasks.
- Keep deal jackets and customer files organized and up to date.
- Manage petty cash and prepare daily deposits with proper documentation.
- Jump in to help with other tasks as needed—flexibility is key!
What we’re looking for:
- You bring positive energy and enjoy working both independently and with a team.
- You’re organized, confident, and diplomatic, with a sharp eye for detail.
- Experience with dealership software like Reynolds & Reynolds, Great Plains, or CDK Global is a big plus.
- A college diploma in Business Administration is considered an asset.
- You’re detail-oriented and love keeping things organized.
- You can juggle multiple tasks and meet deadlines with ease.
- Problem-solving is your superpower, and you’re great at staying on top of things.
- You’re comfortable using Microsoft Office and learning new systems.
