Job Summary The Materials Coordinator role at Ann Lowengart Interiors is responsible for overseeing the organization, management, and coordination of design materials. This role serves as a central resource for maintaining the materials library, facilitating project logistics, and documenting design assets. Responsibilities Manage all incoming and outgoing design materials and coordinate shipping and courier logistics, including processing, tracking, and facilitating delivery requests for both project and operational needs. Maintain and oversee the Materials Library, project bin room, install kit, go-backs, and storage spaces to ensure accessibility and efficiency. Photograph, catalog, document, and maintain materials for internal use and remote team collaboration. Develop and maintain inventory tracking systems and processes to ensure materials remain organized, accurate, and readily available Coordinate the movement and flow of materials across projects while ensuring consistency organization and alignment with project needs. Prepare materials for internal meetings and client-facing presentations. Serve as a resource to designers and team members by assisting with material research, retrieval reference needs, and project support. Provide detailed photography and descriptions of materials, colors, and textures to support design decisions. Provide design and color feedback recommendations and material suggestions when requested by the design team. Support content and media initiatives by capturing photography and video content, contributing creative ideas, and coordinating production logistics from concept through post-production in collaboration with the Executive Assistant. Provide back-up support to the Executive Assistant during absences or as needed. Provide support to the CEO & Principal, Personal Assistant, and other team members on both short-term and long-term projects. Experience and Skills Valid CA Driver’s License Experience in project management or expediting to ensure timely material delivery Strong organizational skills for managing the materials library and supporting mailing efforts Attention to detail for accurate record-keeping and maintaining high-quality standards Proficiency with digital tools, including Google Suite and the ability to quickly learn systems like Basecamp Excellent verbal and written communication and customer service skills. Strong problem-solving abilities and analytical thinking, particularly when working across teams Reliable, self-motivated, and able to work independently Flexible and adaptable in a fast-paced environment Comfortable managing multiple projects and assignments simultaneously Physical Requirements Ability to sit or stand for extended periods while working at a desk or computer Frequent use of hands for computer tasks Ability to lift and carry up to 25 pounds Ability to frequently bend, stoop, kneel, or crouch to access low-level storage or equipment.
