HVAC Service Dispatcher & Billing Coordinator

We are seeking a highly organized and customer-focused HVAC Service Billing & Dispatch Specialist to join our growing team. This position is responsible for coordinating service technicians' schedules, dispatching work orders, managing customer communications, and ensuring accurate and timely invoicing for completed service calls. The ideal candidate thrives in a fast-paced environment, possesses excellent communication skills, and has prior experience in HVAC, plumbing, electrical, or service-based dispatch and billing operations. Key Responsibilities Dispatching & Scheduling Schedule and dispatch HVAC service technicians for maintenance, repair, and emergency service calls. Monitor technician locations and workloads to maximize efficiency and customer satisfaction. Coordinate daily schedules and make adjustments as needed. Communicate service updates and arrival times to customers. Prioritize emergency and after-hours service requests. Billing & Administrative Duties Review completed work orders for accuracy and completeness. Prepare and process customer invoices. Verify labor hours, materials, equipment, and service charges. Process warranty claims and manufacturer documentation when applicable. Assist with accounts receivable collections and payment processing. Maintain accurate customer records in the service management system. Customer Service Answer incoming calls professionally and courteously. Provide exceptional customer support and issue resolution. Schedule preventative maintenance visits and follow-up appointments. Maintain strong communication between customers, field technicians, and management. Qualifications Required Minimum 2 years of dispatching, billing, customer service, or administrative experience in the mechanical trades. Strong computer skills, including Microsoft Office Suite. Excellent verbal and written communication skills. Strong attention to detail and organizational abilities. Ability to multitask and prioritize in a fast-paced environment. Preferred HVAC, plumbing, electrical, construction, or service industry experience. Experience with SalesForcel, Computer Ease, FieldEase, FieldEdge, ESC, Successware, or similar dispatching software. Basic understanding of HVAC terminology and service operations. Experience processing invoices, purchase orders, and warranty claims.
