Heating, Ventilation, and Air Conditioning Dispatcher

Job Overview We are seeking a dynamic and organized Heating, Ventilation, and Air Conditioning (HVAC) Dispatcher to coordinate and manage the scheduling, dispatching, and communication of HVAC service technicians and equipment. This role is vital in ensuring timely response to service requests, efficient routing of field teams, and seamless communication between clients, technicians, and internal departments. Duties Receive incoming service requests via multi-line phone systems and internal communication channels, ensuring prompt and professional customer interactions with excellent phone etiquette. Schedule and dispatch HVAC technicians efficiently using vehicle dispatch software and transportation management systems such as Oracle Transportation Management or similar platforms. Coordinate routing for service calls by leveraging GPS and GIS tools to optimize travel times and resource allocation in compliance with DOT regulations. Manage freight logistics related to parts delivery, equipment shipments, and inventory replenishment through supply chain management practices. Maintain accurate data entry for dispatch logs, service records, and customer information while ensuring compliance with internal standards and data security protocols. Communicate effectively with field teams regarding job details, vehicle assignments, and schedule updates via internal communication tools. Monitor fleet management operations, including vehicle maintenance schedules and driver assignments, to ensure safety standards are met. Collaborate with logistics teams to support shipping & receiving processes, 3PL providers, and overall transportation planning efforts for seamless operations. Qualifications Proven experience in dispatching within transportation planning or road transportation operations environments; familiarity with vehicle dispatch software is highly desirable. Strong organizational skills with the ability to multitask efficiently across multiple platforms including Microsoft Office applications. Excellent communication skills—both verbal and written—with a professional phone manner suited for multi-line phone systems. Knowledge of DOT (Department of Transportation) regulations related to vehicle operation and freight handling. Familiarity with logistics concepts such as supply chain management, freight coordination, shipping & receiving procedures, and fleet management practices. Analytical skills to assess routing options using GPS/GIS tools for optimal efficiency. Ability to perform data entry accurately under pressure while maintaining attention to detail. Experience working with transportation management systems like Oracle Transportation Management or equivalent platforms is preferred. Demonstrated customer service orientation with a proactive approach to problem-solving in a fast-paced environment.
