About Native Forest Nursery Native Forest Nursery grows bareroot tree seedlings, container and GrowBag stock at locations in New York and Georgia. Our trees go into mine reclamation, mitigation, reforestation, conservation and wildlife projects, and we work closely with the organizations that do that work. We are a seasonal business: bareroot stock is lifted, graded and stored in our cooler over the winter, and shipping runs through the planting season. Job Summary The Fulfillment & Inventory Coordinator gets every order, big or small, out the door accurately and on time. You will plan and book shipments, tag, pull, pack and load orders, keep physical inventory accurate, and invoice orders once they ship. When shipping is slow, you will be part of the nursery crew: lifting, grading, field work and caring for stock. This is a hands-on job that splits time between the office, the warehouse and outdoor nursery work. It suits someone who likes being outside, takes pride in getting details right, and wants to grow with a company that is growing. What You Will DoShipment Planning & Fulfillment Maintain the rolling 2-week shipping plan with the Inventory, Sales and Production teams. Plan daily pull lists, labor, packing supplies and staging space from the plan. Ship orders of every size: UPS and FedEx parcels, LTL freight, full truckloads, company trucks and customer pickups. Get freight quotes, book carriers, schedule pickups and prepare bills of lading. Make sure required shipping paperwork, such as state nursery or phytosanitary certificates, travels with each load. Send tracking information to customers and follow up on shipments at risk of running late. Tagging, Pulling, Packing & Loading Print tags for container tree orders, mostly Wednesday through Friday, and reprint them when orders change. Pull and verify orders: correct product, quantity and grade. Pack live plants correctly for the shipping method and season to protect roots and plant health. Stage and load trucks, including load order for multi-stop deliveries. Direct seasonal crew members on daily fulfillment tasks. Invoicing Prepare and send invoices for shipped orders, based on what actually shipped. Check each invoice against the sales order, pricing and customer terms, and add freight charges when applicable. Record short, substituted or damaged items so invoices and inventory stay accurate. Prepare credit memos for shorts, damage or returns, with documentation and approval. Flag pricing, terms or payment questions to Sales and Finance. Inventory Count container trees, GrowBag stock and bareroot in the field and cooler, including hundreds of individual trees at a time. Run regular cycle counts and help with full counts after lifting and grading. Confirm that stock set aside for orders is really there and is shippable quality, and flag shortfalls before ship day. Report differences between physical counts and the inventory system the same day. Keep product locations organized and keep packing supplies stocked. Receiving Receive incoming plant material, supplies and hard goods, and check them against the paperwork. Report damaged, missing or incorrect items and put stock away in the right location. General Nursery Work Help with bareroot lifting, grading, bundling and cooler storage during the winter season. Care for container and GrowBag stock: watering, weeding, spacing, moving and consolidating plants. Help with field work such as planting, bed preparation and other seasonal production tasks. Monitor plant health and cooler conditions, and report problems early. Keep work areas, equipment and tools clean, safe and organized. Pitch in wherever the nursery needs help during busy periods. Customer & Team Communication Answer customer questions about shipping, order status and availability when needed.
